JOB SUMMARY: The Workforce Development Administrator is responsible for administrative support in Workforce Development. This position processes office supply orders, completes purchase requisitions, disseminates information to clients, oversees grant documentation and assistance with compliance, is responsible for necessary data collection, coordinates vendor relationships, and supports enrollment in GCPI (Goodwill Career Pathways Institute) programs, employment programs, and the CRM (Client Records Management).

ESSENTIAL JOB FUNCTIONS:

  • Data entry for enrollment in GCPI, Employment Programs, and other Workforce development areas.
  • Report monthly, quarterly, and annual outcomes to Director of Community Training and Employment Programs, Director of Employment Services, and the Vice President of Workforce Development.
  • Create monthly SNAP (Supplemental Nutrition Assistance Program) reports and invoices.
  • Data entry and support for COWIB (Central Oklahoma Workforce Innovation Board) clients and maintenance of documentation required for the partner relationship.
  • Complete purchase requests and P.O.s in Great Plains, order supplies and submit completed P.O. paperwork to Finance; Upload copies to SharePoint. Reconcile purchases in the system for the Employment Services Center (ESC) GCPI, Employment Programs, WFD (Workforce Development), and other programs for month end.
  • Organizes, schedules, and supports compliance for trainer loads for adjunct faculty and ensures adjunct faculty are paid and that all documents are gathered and maintained.
  • Collects and submits mileage, supply reimbursement, and orders supplies for the division.
  • Support and maintain grant compliance for all Goodwill programs, accreditation, and grants.
  • Assists with data collection for CARF accreditation compliance.
  • Assist in the coordination of workforce and employee events including job fairs, employee appreciation, quarterly potluck luncheons, etc.
  • Gathers enrollment paperwork for all new students into the Goodwill Career Pathways programs.
  • Upload client intake data as needed.
  • Takes and accepts payments for GCPI classes.
  • Updates the SNAP workbook, invoicing, and paperwork for compliance within the partnership relationship.
  • Mileage reconciliation and document collection.
  • Completes partner tracking and submits the monthly training email to partners.
  • Collects and submits GII (Goodwill Industries International) data monthly and works to expand the data collected for GII on Workforce Development services.
  • Is cross trained for a variety of areas.
  • Maintain confidentiality as it pertains to consumers and private/confidential information entered into consumer tracking program.
  • Abide by and ensure compliance with agency and department policies and procedures as set forth by management. Follows safety rules and regulations.

  • MINIMUM QUALIFICATIONS FOR CONSIDERATION:

  • Associate degree or previous administrative experience required; bachelor's degree preferred.
  • Excellent computer skills with an emphasis on Excel, Word, and PowerPoint. The ability to work within Google APPS is necessary.
  • Must pass criminal background check and drug screening.
  • Must pass MVR and have valid OK license and insurance.
  • Must be able to complete and maintain o CPR and First Aid Training
