Proposal Coordinator - Grafton, WI

As a Proposal Coordinator, you will effectively communicate with the Estimating team to stay informed of project needs while assisting with the preparation, review and submittal of bids, contracts, RFIs and reports.

Ideal candidate will have experience in high volume manufacturing operations, process control and material.

Responsibilities:

  • Serve as the primary point of contact for client inquiries related to proposals, providing timely and accurate responses from start to finish.
  • Retrieve necessary customer documents and collaborate and review with various departments including tooling, engineering, manufacturing, and purchasing for efficient processing.
  • Collaborate with various departments to gather necessary information and documentation to develop proposal content that addresses client requirements.
  • Ensure proposals are formatted, packaged, and presented in a professional manner.
  • Maintain and organize a centralized library of standard proposal documents, including templates, forms, and presentation materials.
  • Manage the review and approval outcomes and provide feedback to key members of the team.
  • Review of purchase parts and contacts outside vendors as needed.
  • Supports the Sales and Client Relations group as needed.
  • Stay updated on industry trends and requirements to ensure proposals are competitive and compliant.
Qualifications:
  • Bachelor's degree in business, communications, or a related field.
  • 1-2 years of experience in proposal coordination, administrative or a similar role.
  • Excellent written and verbal communication skills.
  • Strong organizational and project management abilities.
  • Proficient in Microsoft Office Suite and other relevant software.
  • Ability to work under tight deadlines and manage multiple proposals simultaneously.
  • Attention to detail and a commitment to producing high-quality work.
  • Experience in proposal writing or a related field is preferred.
