The Accounting Assistant primary function is to support the CFO by compiling and maintaining accounts payable records and other accounting duties as needed. This position will work in direct support of the accounting team.
Job Responsibilities:
- Maintains vendor files including W-9s.
- Checks and approves (or obtains approval from appropriate manager) all vouchers for payment.
- Audits bills against credit card receipts, delivery tickets, and purchase requests.
- Answers all vendor inquiries.
- Prepares accounts payable checks.
- Prints all accounts payable reports and maintains all accounts payable files.
- Tracks status of equipment leases.
- Maintains vehicle records and tracks gas cards.
- Prepares quarterly Use Tax filings.
- Requests and files Certificates of Insurance.
- Assists with telephone reception and special projects, as necessary.
- Performs other duties as assigned.
- Promotes a positive company culture.
- High school diploma or equivalent is required.
- Associate degree or equivalent is preferred.
- Understands the basic principles of finance, accounting, and bookkeeping.
- Ability to work independently with little supervision.
- Superb multitask, time management skills and detail orientation.
- Has the ability to maintain confidentiality of company and partner information.
- Has strong mathematical and computer skills.
- Experience in accounts payable (or accounts receivable)
- Experience with accounting software and online platforms.
- May require the ability to sit for extended periods of time, stand, walk, and manipulate (carry, lift, move) light to medium weights of 10-30 pounds.
- Requires good hand-eye coordination, arm, hand, and finger dexterity, including the ability to grasp, and visual acuity to use a keyboard, operate technical equipment, read technical information and to analyze complex data.
- Occasional travel to offsite locations to perform work and work- related errands or to attend meetings may be required.
