Responsibilities:
  • Manage all financial aid programs, oversee audits, surveys, compliance reviews and account reconciliation to ensure institutional compliance with relevant regulations and policies as well as all federal, state, and institutional financial aid regulations, policies and procedures.
  • Establish and administer policies, procedures, and reporting for Carroll University financial aid program that is in full compliance with federal and state regulations.
  • Counsel prospective/current students and parents about the financial aid process.
  • Determine eligibility for financial aid resources and re-evaluating eligibility based upon university guidelines.
  • Counsel students and parents in financial planning options.
  • Administer all full-time, part-time, and graduate financial aid activity (i.e. packaging, application process, adjustments, daily office activity, and student/parent financial aid counseling).
  • Provide consultation and assistance to Enrollment Team to assist in recruitment and retention of students.
  • Collaborate with internal resources across departments and campuses to resolve financial planning issues for students.
  • Award and process undergraduate/graduate financial aid activity in accordance with federal and state laws and the college's objectives. This includes file preparation (verification), packaging, adjustments, as well as counseling students and parents.
  • Determine annual cost of attendance for all categories of students.
  • Remain abreast of current with federal, state, and institutional financial aid regulations, including Title IV and FERPA regulations by attending financial aid seminars, conferences, and workshops, communicating with the Department of Education, lending institutions, and other outside agencies as needed to ensure compliance with all regulations as related to financial aid funding.
  • Maintain the Carroll University Financial Aid Policy and Procedure manual.
  • Perform satisfactory academic progress process for each payment period.
  • Maintain CCE (cross cultural experience) budgets adjustments and awards.
  • Supervise administrative staff members.
  • Manage the Financial Aid budget.
  • Coordinate with the Business Office the posting and billing of students.
  • Manage all system development projects associated with the Financial Aid Office (Federal Electronic Data Exchange, National Student Loan Data System, Student Information Systems and Electronic Funds Transfers).
  • Implement and monitor institutional financial aid policy.
  • Perform special circumstance process.
  • Administer appeals and review for additional financial aid.
  • Educate and assist admission counselors with financial aid issues.
  • Report data and information to relevant agencies regarding financial aid information.
  • Conduct and coordinate financial aid nights in community to promote financial awareness.
  • Prepare and conduct presentations on financial aid for prospective students as needed.
  • Coordinate the design financial aid publications.
  • Attend Board of Trustee meetings, Audit Committee meetings and Academic/Student Affairs Meeting.
  • Serve as primary financial aid contact for Ruffalo Noel-Levitz consultant.
  • Perform additional duties as assigned.
Qualifications:

Education and/or Experience:
  • Bachelor's degree required, master's degree preferred.
  • Five to seven years of previous related experience required.
  • Leadership or supervisory experience required.
  • Working knowledge of Federal, State and other agencies policies and procedures regarding the participation of financial in different programs.
  • Ability to understand and implement the Federal regulatory policies governing the administration of financial aid programs.
Technology Skills:
  • Proficiency with Microsoft Office Suite
  • Ability to use University software to create & maintain student financial aid records
Human Relations Skills:
  • Excellent oral and written communication skills.
  • Excellent analytical, critical thinking and organizational skills.
  • Effectively and professionally communicate with staff regarding financial aid.
  • Ability to build strong relationships with leadership, management, students, parents, faculty and staff through a consultative, collaborative and active-problem solving approach.
  • Sensitivity to the needs of students, parents and colleagues.
  • Ability to effectively and professionally communicate with students and their families when appropriate.
  • Ability to work independently, prioritize tasks, organize work and meet deadlines in a fast-paced, time sensitive environment.
  • Maintain a high level of confidentiality.
  • Excellent professional judgement.
  • Ability to work evenings and weekends as needed.
