JOB SUMMARY:The Development Operations Specialist is responsible for accurately managing our donor database, gift acknowledgement processes, and grants research and tracking. This position provides excellent customer service by responding to donor and staff inquiries and managing online ticketing and donation systems. This position also provides support for the Director of Development and the VP of Development and Community Impact. This individual will need to possess a keen eye for detail and must be comfortable working in a fast-paced environment. This individual will serve as a team player and assist their colleagues with projects when needed. Meets the organization's expectations for customer service, teamwork, fundraising, and interpersonal relations. RESPONSIBILITIES:•Manages process and execution of gift entry, gift acknowledgments, and receipts while serving as the primary contact for donors. •Maintains the donor database through regular updates, record consolidation, scrubbing, and ensuring information fidelity. This includes, but is not limited to online donor activity, records of grant activities, accurate gift and donor coding.•Imports data and formulates data mapping and relationship mapping from donor research and prospecting.•Extracts solicitation and appeal lists from the database. •Verifies and submits matching gift claims to participating companies and processes matching gifts appropriately upon receipt.•Responsible for reconciling financial reports with the finance department and preparing financial reports for the development team, Board and Committee meetings, grantors, and CEO.•Manages memorial and honorary gift notifications.•Reviews and checks data standards and best practices for information retention. •Support and primary contact for the VP of Development including scheduling, mail, reports, travel, letters and mail merges, meetings and minutes, prepares donor packets, and other assignments as given by VP of Development.•Support and primary contact for the Director of Development, Grants. This includes assisting with annual grants strategy calendar, grants research, gathering supporting documents, drafting proposal narratives and required reports, and collaborating with program staff including tracking proposal submissions, deadlines, and outcomes. •Performs other duties as assigned by supervisor.KNOWLEDGE AND SKILL REQUIREMENTS:•High school diploma or GED. Related college degree or experience within a healthcare setting and/or family planning clinic preferred. •Strong understanding of database management and proficiency in relevant software (e.g., CRM systems) coupled with strategic research and online search skills.•Skilled at Microsoft Office Suite (Word, Excel, PowerPoint), Donor Perfect, and online credit card programs, etc. •Excellent research and data management abilities.•Record of handling calls, correspondence and internal operations. •Effective communication and interpersonal skills, with the ability to build relationships with diverse stakeholders. Ability to maintain confidentiality and exercise sensitivity in working with diverse stakeholders. •Excellent organizational and project management skills, with the ability to prioritize and meet deadlines, acute attention to detail, and adept at troubleshooting. •Must be able to exercise sound and independent judgment with high ethical standards. •Commitment to PPSWO's mission, goals and objectives.Must be a discreet individual with well-developed analytical and problem-solving abilities.Must maintain strict confidentiality with donor information.Occasional regional travel and evening events.
