Our client located in Brentwood, TN is seeking a Receptionist to join their growing team.
The Receptionist position is a permanent opportunity with a fully in-office schedule Monday-Friday.
Responsibilities:
- Greet visitors; handle incoming calls, faxes and emails with quality service which meets and/or exceeds established service standards.
- First impression for guests; both appearance and conduct must remain consistent with our client's professional image and environment.
- Perform general administrative duties including maintenance of conference center schedule.
- Ensure guests sign-in and follow security procedures.
- Sign for deliveries and notify recipients.
- May process incoming payments.
- Edit, organize, and create daily company-wide communication.
- Maintain and update Front Desk Manual.
- Ensure certified letters and certificates of mailing are recorded properly.
- Serve as back-up to Corporate Services Specialist as needed.
- Oversee company event sign-ups including managing fees for multiple events.
- Track building maintenance complaints and problems; coordinate with Director of Corporate Services or Specialist to ensure problems are resolved.
- May assist with Corporate Services invoicing process.
- Assist with mail processing.
- Take initiative to assist with projects for other departments and other duties assigned.
- Understand the interconnectivity of all clientdepartments.
- Participate in cross-functional teams.
- Regularly run local errands as needed.
- Meet or exceed supervisor's expectations for productivity, quality, continuous improvement, and goal accomplishment.
- Contribute to clientsuccess by identifying opportunities and making recommendations that may lead to improved processes.
- Regular and predictable on-site attendance is required.
- Ability to work remotely on a limited basis, as business needs dictate.
- Complete special projects and other duties assigned.
Qualifications:
- High School diploma and 5+ years of successful professional or corporate-level administrative support work OR Associate degree or above with 24+ months of successful,professional, or corporate-level administrative support work
- Valid Driver's License required
- Effective interpersonal skills and the ability to work independently and recognize when and how to collaborate with others.
- Good keyboarding skills and proficient with Microsoft Suite of Products including Outlook, Word and Excel and able to gain proficiency quickly with other software programs.
- Ability to efficiently manage multiple projects.
- Frequently required to reach with hands and arms and utilize a computer for significant periods of time.
- Occasionally required to stand, walk, and stoop.
- May utilize a telephone and video conferencing software for extended periods of time.
- May be required to operate a motor vehicle and/or sit for extended periods of time in a motor vehicle.
- The employee must occasionally lift and/or move up to 30 pounds.
Culture/Benefits:
- Benefits are available on DAY ONE. This role is eligible for 88 hours of front-loaded vacation, prorated for the first year. 9 holidays, two floating holidays, prorated for the first year, and a community service day are also included. Jeans ok daily (but polished look) Full, robust benefit package. EVERYONE gets $50 per pay period as a WFH stipend, even if they are fully onsite
