We are seeking a professional and detail-oriented Administrative Assistant to provide essential front desk support and ensure smooth office operations. This role involves a variety of administrative tasks to support both office personnel and outside employees. As the first point of contact for visitors and callers, the ideal candidate will exhibit a welcoming demeanor, effective communication skills, and a commitment to maintaining a well-organized and efficient work environment.
Key Responsibilities:
Front Desk Management:
Greet and welcome visitors with a professional and courteous manner.
Maintain and manage the visitors logbook.
Answer incoming phone calls promptly, directing them to the appropriate parties.
Ensure consistent front desk coverage during business hours and escalate calls as necessary.
Mail and Package Handling:
Retrieve and distribute daily incoming mail for office personnel and external employees.
Coordinate and prepare express mail services (UPS, FedEx, etc.) and USPS envelopes.
Accept and distribute incoming packages to the correct recipients.
Office Supply Management:
Manage office supply ordering, receiving, and stocking.
Ensure that conference rooms and the lunchroom are organized and stocked with necessary supplies.
Administrative Support:
Confirm appointments and interviews as scheduled.
Support various departments with administrative needs, including scheduling conferences, making reservations, ordering meals, and handling mailings.
Maintenance and Coordination:
Oversee periodic cleaning services for the office.
Manage Aramark and other monthly service needs.
Additional Skills & Qualifications:
High School Diploma (HSD) or equivalent required.
1-2 years of experience in an administrative assistant role preferred.
Basic computer and phone skills; strong organizational abilities; attention to detail.
Professional service orientation; reliable attendance; effective communication skills; ability to multitask and manage time effectively.
