Position Overview: We are seeking a detail-oriented and proactive individual to support our procurement and vendor management operations. This individual will work closely with the finance team and the Vendor Manager to execute purchase orders, maintain important client files, track external vendors, and conduct market research. The ideal candidate should possess strong organizational skills, excellent communication abilities, and proficiency in Microsoft Office applications. This role will play a crucial part in ensuring the efficient procurement processes and vendor management for our organization. Responsibilities: Review and process purchase requisitions from various departments, verifying accuracy and compliance with procurement policies. Maintain and organize office and construction licenses, including state filings, business licenses, and contractor license renewals. Collaborate with the Accounts Payable department to track external vendors purchase orders, and maintain accurate communication and trackers. Assist in managing contracts with vendors, including contract renewals, amendments, and maintaining contract databases. Conduct market research to identify procurement needs and opportunities in all Ramapo-served markets. Assist the Vendor Manager in establishing performance assessment standards for approved vendors. Build and maintain positive relationships with existing vendors to ensure smooth communication and prompt issue resolution. Assist in negotiating pricing and contractual terms with vendors to secure favorable agreements while maintaining a focus on quality and cost-effectiveness. Analyze procurement data and generate reports to identify trends, cost-saving opportunities, and areas for process improvement. Help monitor vendor compliance with regulatory requirements, certifications, and ethical standards. Assist in monitoring procurement budgets and expenditures, ensuring adherence to allocated funds and providing input for budget planning. Assist the Vendor Manager in communicating, organizing, and scheduling training programs for Ramapo internal employees and external Ramapo vendors. Position Requirements: Proficiency in all Microsoft Office applications (Word, Excel, PowerPoint, Outlook). Effective written and verbal communication skills. Possession of a valid Driver's License. Ability to travel to and from the office daily. Strong organizational skills with an eye for detail. Ability to work collaboratively within a team and also independently. Proactive and solution-oriented approach to problem-solving. Basic understanding of procurement principles and processes (preferred, but not required). Previous experience in a procurement or vendor management role (preferred, but not required).
