Job Summary:
The Front Desk Representative serves as the first point of contact for clients, visitors, and staff. This role involves providing outstanding customer service, managing administrative tasks, and maintaining a professional and welcoming front-office environment.
Key Responsibilities:
- Customer Service:
- Greet and welcome visitors in a friendly and professional manner.
- Answer and direct incoming calls to appropriate personnel or departments.
- Provide accurate information about the organization's services, policies, and procedures.
- Administrative Support:
- Manage front desk operations, including maintaining a clean and organized reception area.
- Handle mail, deliveries, and courier services efficiently.
- Maintain appointment schedules by coordinating with clients and staff.
- Assist with data entry, filing, and record-keeping.
- Communication:
- Communicate effectively with staff to ensure smooth day-to-day operations.
- Address and resolve inquiries or complaints promptly and professionally.
- Security:
- Monitor and control access to the building by issuing visitor badges and maintaining a visitor log.
- Report any suspicious activity or security concerns to the appropriate personnel.
Qualifications:
- High school diploma or equivalent; additional certification in office administration or customer service is a plus.
- Proficiency in office software (e.g., Microsoft Office Suite) and phone systems.
- Excellent verbal and written communication skills.
- Strong organizational skills with attention to detail.
- Ability to multitask and manage time effectively.
- Professional demeanor and appearance.
