Job Title: Front Desk Representative

Department: Administration
Reports To: Office Manager

Job Summary:
The Front Desk Representative serves as the first point of contact for clients, visitors, and staff. This role involves providing outstanding customer service, managing administrative tasks, and maintaining a professional and welcoming front-office environment.

Key Responsibilities:
  1. Customer Service:
    • Greet and welcome visitors in a friendly and professional manner.
    • Answer and direct incoming calls to appropriate personnel or departments.
    • Provide accurate information about the organization's services, policies, and procedures.
  2. Administrative Support:
    • Manage front desk operations, including maintaining a clean and organized reception area.
    • Handle mail, deliveries, and courier services efficiently.
    • Maintain appointment schedules by coordinating with clients and staff.
    • Assist with data entry, filing, and record-keeping.
  3. Communication:
    • Communicate effectively with staff to ensure smooth day-to-day operations.
    • Address and resolve inquiries or complaints promptly and professionally.
  4. Security:
    • Monitor and control access to the building by issuing visitor badges and maintaining a visitor log.
    • Report any suspicious activity or security concerns to the appropriate personnel.

Qualifications:
  • High school diploma or equivalent; additional certification in office administration or customer service is a plus.
  • Proficiency in office software (e.g., Microsoft Office Suite) and phone systems.
  • Excellent verbal and written communication skills.
  • Strong organizational skills with attention to detail.
  • Ability to multitask and manage time effectively.
  • Professional demeanor and appearance.
