Our client, a prestigious global alternative investment management firm, is seeking a highly polished Receptionist to join their team and serve as the first point of contact for clients, visitors, and staff. This pivotal role requires a candidate who exudes professionalism, possesses exceptional communication skills, and has an innate ability to handle a variety of responsibilities with grace and efficiency. The ideal candidate will contribute to creating a positive and welcoming atmosphere while managing administrative tasks seamlessly.

Responsibilities:

  • Welcome and assist guests, ensuring they are seated appropriately in meeting rooms.
  • Professionally answer and manage all incoming calls, addressing inquiries and requests promptly.
  • Coordinate conference room and guest office reservations efficiently.
  • Monitor office entrances to enhance security protocols.
  • Oversee incoming and outgoing messenger services for the floor, including FedEx and other carriers.
  • Register clients, guests, and others with Building Security for a secure and organized environment.
  • Maintain the reception area, keeping the desk tidy and ensuring neatness in conference rooms, guest offices, and the kitchen.
  • Assist with meeting setup and takedown, including ordering, receiving, and setting up catering.
  • Meet and greet guests with a personalized touch, offering coat check and beverages.
  • Handle conference room requests and assist guests with seating and car service.
  • Take on administrative projects as assigned, such as arranging ground transportation and managing catering orders.
  • Perform other reasonably related duties as assigned to contribute to the smooth operation of daily activities.

Requirements

  • Bachelor's Degree.
  • Proficient in Microsoft Office applications, including Outlook, Word, and Excel.
  • Demonstrate excellent communication skills and maintain a professional presentation.
  • Capable of preserving the confidentiality of sensitive issues and materials.
  • Able to work independently and collaboratively, showcasing resourcefulness in handling special requests.
  • Embrace teamwork with a positive attitude.
  • Possess the ability to manage a moderate degree of multiple and changing priorities.
