Administrative Support Clerk Under direction, performs a variety of secretarial, clerical, and administrative support to relieve directors and/or department managers; provides administrative support for department/division programs and activities; provides information to the public; may supervise and coordinate clerical staff. Please note: This position is fully on-site. Tentative schedule: eSkill Testing: Week of 12/22/25, Hiring Interview: Week of 1/12/26, a writing sample will need to be provided prior to hiring interviews for those selected to move forward in the process. The following duties are normal for this position. These are not to be construed as exclusive or all-inclusive. Other related duties may be required and assigned. Trains, instructs, directs, and assists clerical staff as assigned. Relieves department director or manager of the more routine administrative functions. Performs a variety of administrative support duties requiring data entry, typing, tracking, and word processing skills in support of assigned office/program operations, activities, projects, and staff. Types/word processes various reports, forms, correspondence, newsletters, manuals, grants, charts, forms, claims, invoices, meeting minutes, documentation, and other materials from recorded dictation, rough draft, verbal instruction, or own initiative. Prepares, processes, and/or forwards various forms, documents, and transactions as appropriate to assignment. Assists in the preparation and/or monitoring of budgets as assigned, monitors expenditures. Maintains calendar and schedules conferences, meetings, and trainings and notifies involved parties; arranges travel itinerary. Screens telephone calls and visitors, ascertains nature of business, and takes messages and/or refers as appropriate. Serves as liaison between staff and department director and/or division manager and departmental and County staff. Organizes and maintains filing system, policies, and procedures; opens new records, enters computer data, and updates files/documents; researches and retrieves files as needed; and performs background checks. Prepares department payroll; processes employee-related paperwork; orders supplies and maintains inventory. Receives/distributes incoming mail and prepares outgoing mail. Builds and maintains positive working relationships with co-workers, other County employees, and the public using principles of good customer service. Knowledge of: Administrative support practices and procedures including style and formatting of business correspondence, grammar, punctuation, spelling, and general English usage; modern office practices and procedures including filing and record keeping methods; common reference materials; basic mathematics; modern office equipment, and computer applications and techniques; pertinent laws, rules and regulations; elements of supervision including instructing workers on specific tasks; and clerical activities related to an organization's programs and operations. Ability to: Perform responsible administrative support functions; interpret and apply specific policies and procedures; organize work effectively to meet critical deadlines and deal with office emergencies; compose correspondence independently; compile and maintain extensive records and files; maintain confidentiality of department information; communicate clearly and concisely, both orally and in writing; establish and maintain effective working relationships with those contacted in the course of work; type at 45 wpm; and utilize various software programs relevant to the position; take shorthand at 100 wpm or other forms of speed writing may be required in some positions. Education and experience: Equivalent to the completion of business, secretarial, and clerical courses and three years of experience in performing a variety of administrative support assignments or any combination of education and experience that provides equivalent knowledge, skills, and abilities. Word processing, spreadsheet, and database experience is required. Essential duties require the following physical skills and work requirements: Requires the ability to maintain mental capacity which allows the capability of exercising sound judgment and rational thinking under varied circumstances; the ability to exert a small amount of physical effort in sedentary to light work involving moving from one area of the office to another; ability to see; ability to hear and communicate orally; requires sufficient hand/eye coordination to perform semi-skilled repetitive movements, such as using a computer, typing, filing, data entry, and/or use of calculators, ten-key adding machine, or use of other office equipment or supplies; involves VDT exposure. Disaster Service Workers: All Sutter County employees are designated as Disaster Service Workers during a proclaimed emergency and may be required to perform certain emergency services at the direction of the department and/or County. License or Certificate: This classification may require a valid California driver's license.
