POSITION SUMMARY

This position is responsible for performing customer service and logistics functions and supporting sales for the department as well as leading the interdepartmental customer service team.

ESSENTIAL JOB FUNCTIONS

Manages Customer Service Team and Functions

Assesses training needs for Customer Service Staff

Arranges for or provides training to Customer Service Staff

Evaluates all Customer Service Representatives performance on a regular basis and provides feedback to DM and BUGM.

Evaluates roles and responsibilities in the Customer Service function and recommends changes and/or improvements to Management

Troubleshoots issues and problems in the customer service function

Coordinates with the Controller Account Specialist and the DM General Manager of Operations to ensure efficient customer service through effective selection and consolidation of carriers, warehouses, custom brokers, etc.

Provides Customer Service, Logistic, Sales Support, and Admin functions When Necessary and required

Receive, process Accepts and enters customer orders into internal control software.

Issues invoices

Assists customers with issues, answers questions, and resolves problems in a timely manner

Maintains business relationships with customers

Tracks shipments and performs traces as requested

Expedites customer orders in a prompt and professional manner

Monitors customer order patterns and follows up with Management on irregularities or missed orders

Follows up on or assists in following up on customer billing and accounting issues and procedures

Logistics Functions

Verifies incoming and outgoing shipments

Ensures the accuracy of all logistics-related documents

Inspects shipments

Processes relevant paperwork for import/export procedures

Approves and places orders with suppliers

Arranges transportation relevant to distribution and shipping

Obtains rates, shipping schedules, and vessel space

Checks all freight charges and files claims on overcharges

Processes bills of lading, letters of credit, customs, and other documents as needed

Processes payments, prepares receipts, and initiates billing procedures

Tracks shipments

Updates shipping schedules when necessary and informs the necessary parties

Generates and processes agent commissions

Files insurance claims

Reviews monthly financials

Performs any other logistics functions as necessary

Sales Support/Admin Functions

Processes sales data and generates sales reports

Receives, processes, and confirms orders

Creates purchase orders, letters of credit, and sales contracts

Monitors credit limits on each sale

Documents new project inquiries from new and current clients

Liaises between sales staff and customers

Conducts research activities in order to grasp current market needs

Identifies and follows through on sales opportunities with current and prospective clients

Maintains, updates, and assists to establish under GDM the SOPs in AGs daily operation

Performs any other sales support functions

Control and apply necessary transaction for expenses related to third party consultants.

Inventory Control Functions when the job requires

Monitors invoices and orders

Ensures that appropriate inventory levels are maintained

Tracks and expedites inventory for delivery as needed

Organizes inventory

Reports any inventory discrepancies to DM in a timely manner

Manages Regulatory, IP, and Compliance Affairs

Manages contracted specialists, local sales personnel, and/or overseas office team for product and trademark registration and regulatory requirement, updates, and maintenance to keep them in good standing while coordinates with regulatory department of the vendors for data collection, commissions tests for dossier development. Keep good filing for record keeping.

Manages and coordinates with internal department and staff to compliance set forth by the MAC management in international trade, risk management, trade finance, and legal dept.

Assist and report to DM in dealing with certain aspects of the above

Crisis Management and Mitigation

Identify by evaluating work flows, procedures and communication in the office operation which potentially lead to risks, problems, and loopholes, and establish new or improved ones;

When crisis emerges, manages or assists DM to manage in the best and most responsive way such as to minimize the damage in the event of major claims, accidents in order fulfillment and shipment, fraud or noncompliance issues.

Organize relevant parties for root cause analysis and remedial measures and evaluate in later stage to ensure effectiveness.

SECONDARY JOB FUNCTIONS

Support DM and department staff for work functions as required and necessary

MINIMUM EDUCATION REQUIREMENTS:

Bachelor`s degree

MINIMUM EXPERIENCE AND CAPABILITY REQUIREMENTS:

?Requires excellent written and verbal communication skills

?Must be able to work in a multi-cultural business environment

?requires excellent Microsoft Excel and Word skills
