Description

Function(s):

Responsible for supporting the HR department with recruitment, onboarding, annual requirements, maintenance of ContentVerse and the coordination of the student internship and volunteer program.

JOB RESPONSIBILITIES:

Recruitment and Onboarding
  1. Primary contact for all recruiting and onboarding efforts for the Agency including:
    1. Initiate internal and external postings of open positions within the Agency on appropriate platforms.
    2. Screen incoming resumes and pre-employment applications to aid in the selection of applicants for employment assuring they meet minimum qualifications.
    3. Conduct pre-employment drug screening, employment testing, background and reference checks on all applicants, interns and volunteers (if applicable).
    4. Create salary offer script for hiring managers.
    5. Notify applicants of rejection of position.
    6. Facilitate new employee orientation including explanations of company policies, benefits and procedures to all new employees, volunteers and interns. Notify other departments/divisions when participation is needed.
HR Help Desk
  1. Act as the primary contact and respondent for all Human Resource Help Desk inquiries
    1. Typical requests can be password reset, adding/dropping a dependent from insurance, benefit explanation, etc,.
    2. Using the Help Desk system, identify treads in order to resolve future problems.
    3. Distribute employee requests to appropriate parties when necessary (Director of HR, FSD/payroll, HR Generalist etc.,)
Student Internship and Volunteer Program
  1. Manages the student internship and volunteer program within the Agency:
    1. Attend locations (Universities, churches, community centers, etc.) and events (career fairs, expos, etc.) to promote DHAC awareness and recruit potential employees, volunteers and interns.
    2. Lead in marketing of volunteer program through print and online resources.
    3. Create and maintain relationships with contacts from local universities or agencies for the student internship and volunteer program.
    4. Maintenance of monthly volunteer and intern database including: name, contact information, recruitment source, activity level, start/end dates, etc.
    5. Interview perspective volunteers and interns
    6. Coordinate and develop the Volunteer Recognition program
HRIS
  1. Maintain and update new, current, and previous employee personnel files in Paycom and HR Folder including: employment history, performance evaluations, personnel, orientation and payroll information.
  2. Maintain and update new, current, and previous employee personnel files in the document management system (ContentVerse) including: employment history, performance evaluations, personnel, orientation and payroll information. This includes file setup, organization, update, and security.
Other Duties
  1. Cross trained in payroll processing to back up HR Generalist (Vacations, time off, etc.).
  2. Assist as needed in audits, collecting requested employee information, analyzing and reporting to the appropriate entity. These audits can be for ODA, Programs (ex. CS), Compliance, FSD, and 401k and are compiled monthly, quarterly and annually.
  3. Assist HR Generalist in annual Agency employee requirements including: Conflict of Interest, Flu Shots, Drivers' License, and Auto Insurance, distribution of Personnel Policy Manual, and TB Testing.
  4. Maintaining Employee information electronically (L Drive) and paper (I-9 book)
  5. Provide support and assistance with HR projects and Agency Committees.
  6. Exemplify the Agency 3C's corporate culture (courtesy, competency and compassion) in all activities and interactions with staff, members, consumers, stakeholders as well as the community at large.
  7. Perform other tasks as assigned by supervisor.


Qualifications

Required:
  • Associate's degree in Human Resources or related fields; or two (2) years of commensurate experience in Human Resources, general office environment.
Preferred:
  • Bachelor's degree in Human Resources or related field.
  • Strong analytical skills.
  • Experience with software programs, understanding database/HRIS Systems a plus
