Description

Job Title: Customer Service Purchasing Coordinator

Reports to: Supply Chain Procurement Director

Summary: The Customer Service Purchasing Coordinator is responsible for managing the procurement of goods and services required by the organization. This role involves sourcing suppliers, placing and tracking orders, and ensuring timely delivery of quality products. The Customer Service Purchasing Coordinator also works closely with the Customer Service department to assist customers with orders directly from the gift shop floors.

Key Responsibilities:
  • Purchasing Management:
    • Prepare and process purchase orders and sales orders in accordance with company policies.
    • Ensure timely and accurate ordering of materials to meet operational needs.
  • Customer Relations
    • Work directly with customers to assist them in locating inventory at the attractions, and place sales orders for warehouse fulfillment.
    • Work with the Customer Service team to resolve customer requests for products at the gift shop level.
  • Compliance and Record-Keeping:
    • Ensure all purchasing activities comply with company policies and regulatory requirements.
    • Maintain detailed records of all purchases, and correspondence with suppliers.
  • Administrative Support:
    • Assist in the preparation of procurement documentation, including purchase orders.
    • Assist with the resolution of any invoice discrepancies or payment issues.
  • Process Improvement:
    • Continuously evaluate and improve procurement processes to enhance efficiency and effectiveness.
    • Stay informed about market trends and new products that could benefit the organization.
Qualifications

Requirements:
  • Proven experience in purchasing or procurement roles.
  • Excellent customer service skills
  • Strong negotiation and communication skills.
  • Excellent organizational skills and attention to detail.
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and procurement software.
  • Ability to multitask and prioritize tasks in a fast-paced environment.
  • Knowledge of procurement best practices and market research techniques.
