Job Summary

The Road Home seeks employees that have a deep commitment to the mission of serving adults and families that are experiencing homelessness. Under the supervision of the Data Program Manager, the Data Specialist upholds the agency's data quality plan for programs in the Homeless Management Information System (HMIS). HMIS is HUD's mandated software used by organizations serving individuals experiencing or at risk of homelessness. This position is designed to ensure data accuracy, system functionality, and compliance with regulatory standards. This position is responsible for having a comprehensive knowledge and administering the following HMIS responsibilities and technical requirements for their assigned programs:
  • Data entry standards
  • Data quality assurance
  • Data monitoring and reporting
  • Client record management
  • User training and support in collaboration with the HMIS Lead Agency
  • Compliance and documentation
This position requires a high degree of organization, attention to detail, and the ability to learn new tasks. This position will interact with many departments of The Road Home and must be able to accept changing roles and priorities as necessary. The Data Specialist must meet critical deadlines while being adaptable and creative in meeting agency goals. As a result, this position requires flexible scheduling and the ability to complete tasks on short notice, occasionally outside of normal business hours. We are looking for a passionate self-starter interested in working for a learning-based agency that operates Utah's largest homeless services and programs (housing, emergency shelter, emergency services, and case management).

Administrative Support Specialist

JOB DUTIES

Maintain an in-depth knowledge of HUD HMIS regulations and technical standards for assigned programs.

2. Assist and maintain the agency's HMIS data quality plan, agency protocols, and HMIS SOP, including conducting regular data audits, monitoring data quality, frequent data reconciliation checks, and addressing data discrepancies or errors to maintain accurate and reliable data.

3. Assist the Data Program Manager and HMIS Lead Agency with training agency end-users.

4. Collaborate with all client-facing departments to ensure data compliance expectations are met.

5. Identify areas for potential improvement, training needs, and organize training interventions.

6. Prepare items for HMIS-related portions of monitoring visits and audits.

7. Provide technical support, including training videos, written instructions, open office hours to agency end-users to improve data quality and data literacy.

8. Comply with federal, state, and local data requirements and technical standards.

9. Serve as an HMIS Security Officer, maintaining security standards throughout the system.

10. Help implement department strategies to improve the efficiency of data process improvement.

11. Promote a culture of data protection and compliance across all units of the organization.

12. Attend community data and planning meetings as a representative of the agency.

13. Complete HMIS data corrections monthly, quarterly, annually, and as needed.

14. Complete and distribute data quality feedback mechanisms to appropriate departments.

Requirements
Education and Experience
  • Bachelor's degree from an accredited college or university (or equivalent) preferred
  • Experience working with diverse populations preferred
