As Office Receptionist, you will be the first point of contact for our company and offer administrative support across the organization. You will welcome guests and greet people who visit the business. You will also coordinate front-desk activities, including distributing correspondence and redirecting phone calls. MBA is seeking a self-motivated candidate with a team player mentality and positive attitude to take on varying tasks given throughout the day.

Responsibilities include but are not limited to:

  • Greet and welcome guests as soon as they arrive at the office
  • Direct visitors to the appropriate person and office
  • Answer, screen and forward incoming phone calls
  • Provide basic and accurate information in-person and via phone/email
  • Receive, sort and distribute daily mail/deliveries
  • Maintain office security by following safety procedures and controlling access via the reception desk
  • Order office supplies and keep inventory of stock
  • Update calendars and schedule meetings
  • Arrange travel and accommodations, and prepare vouchers
  • Manage Conference Room reservations and communicate schedule with staff members.
  • Maintain, clean and organized employee break room, resource center and front desk area.
  • Assist Accounting Department with vendor statements, invoices and communication with vendors.
  • Verify vendor mailing addresses and W-9s.
  • Mail, Fedex or notify vendors when payments are ready to be sent out each week.

Education & Experience Required:

  • High School Diploma or equivalent
  • 3 or more years of experience in office or related field preferred

Skills & Qualifications Required:

  • Microsoft Office proficiency
  • Organization & time management skills
  • Professional telephone skills
  • Strong verbal communication skills
  • Ability to handle multiple tasks at one time and meet deadlines
