Job Tittle: Facilities Coordinator/Administrative Assistant
Location: Totowa, NJ
Duration: 2+ Months with possibility of extension
Pay Rate: $20/hr

We are looking for an Administrative Assistant to join one of our Fortune 500 Healthcare clients.

Job Responsibilities:
  • Processes invoices for accuracy and ensures proper cost center coding and completion of work.
  • Issue PO's for labor, repairs and materials. Trains vendors on billing procedures.
  • Ability to comprehend and interpret instructions, short correspondence, and memos and ask clarifying questions to ensure understanding.
  • Ability to write routine reports and correspondence. Ability to respond to common inquiries or complaints from clients, co-workers, and/or supervisor.
  • Requires basic knowledge of financial terms and principles. Ability to calculate simple figures such as percentages.
  • Ability to understand and carry out general instructions in standard situations. Ability to solve problems in standard situations. Requires basic analytical skills.
  • Creates vendor files and checks accuracy on completed paperwork submitted by vendors .
  • Uses pc and/or PDA for work order system, email, ESS and training.
  • Assist with process and procedure training. Other duties may be assigned.
  • No formal supervisory responsibilities in this position. Decisions made with general understanding of procedures and company policies to achieve set results and deadlines.
  • Errors in judgment may cause short-term impact to co-workers and supervisor.
Must Haves:
  • Minimum of two years of related experience with office admin work/ front desk in a office
  • High school diploma or general education degree (GED) required.
  • Admin, professional appearance, kind, open and welcoming to new tasks
  • Systems/Software Proficiencies: Microsoft Office Suite
  • Experience with Microsoft Office Suite and scheduling.
  • Ability to comprehend and interpret instructions, short correspondence, and memos and ask clarifying questions to ensure understanding.
Interview process:
1st Round: pre-screen over the phone
2nd Round: 2 other people for 45 minutes each
