Essential functions of this job include, but are not limited to:

  • Maintains confidentiality with regard to departmental issues.
  • Opens, scans, and accurately distributes mail and faxes in an accurate and timely manner.
  • Ensures at a minimum there is an early morning and afternoon distribution.
  • Sends outgoing interoffice mail, U.S. mail, and faxes downstairs and/or ensures it is sent downstairs on a regular basis. Effectively and courteously answers incoming calls and screens calls for department.
  • Assists directly with routine inquiries from employees and other parties.
  • Takes the initiative to learn department processes in order to assist callers to the greatest extent possible.
  • Greets supervisors, employees, and outside guests to the department.
  • Pulls personnel files for supervisors who need to review them (e.g., for the employees they supervise, for postings, etc.) in an accurate and timely manner.
  • Ensures files are straightened and then refiles them in an accurate and timely manner.
  • Retrieves archived personnel files from attic as needed.
  • Makes name badges and distributes them in an accurate timely manner.
  • Coordinates payment for lost badges monthly with Accounts Payable Assistant.
  • Ensures security of payment taken to prevent loss and/or theft.
  • Makes photocopies as needed (e.g., first and second interview packets, personnel file packets for the Training Academy, etc.) in an accurate and timely manner.
  • Attends the Summit County Safety Council meeting monthly.
  • Follows established Agency and department procedures for file management of all typed documents.
QUALIFICATIONS: High School diploma or equivalent required.One (1) to three (3) years clerical experience preferred.Strong computer skills including "WORD", Excel, other Microsoft applications, and database experience required.Exceptional interpersonal skills required.Prior experience working in a human resources department strongly desired; prior experience working in an office setting required.Must be able to carry out assignments accurately and organize time well and take initiative to make improvements in job processes.Valid Ohio Driver's license, reliable transportation, and a driving record that does not preclude the employee from being covered by Agency liability insurance.Must have the cognitive skills needed to complete tasks, including abilities such as learning, remembering, focusing, categorizing, and integrating information for decision making, problem solving, and comprehending.Has the ability to perform under stress and/or in emergencies.Must have the ability to effectively work with Agency employees and outside contacts.
