Admin Services Coordinator The University of Iowa College of Dentistry is seeking an Admin Services Coordinator to support the Dental Office of Academic and Student Affairs office. This position is seeking a detail-oriented and proactive administrative professional to support academic programs, student services, events, and daily office operations. Job Duties: Serve as primary administrative support for the Office of Academic and Student Affairs, including managing complex calendars, scheduling meetings, preparing agendas, and maintaining records. Plan and coordinate major academic and student events such as commencement, White Coat Ceremony, orientation, meetings, and student programs. Manage student support functions including scholarship processing, financial literacy program oversight, academic accommodations, and monitoring student organization activities. Perform financial and operational duties including purchasing, P-card reconciliation, budget monitoring, account management, and submitting required documentation for student organizations and departmental needs. Coordinate data management and reporting, including maintaining databases, creating spreadsheets and reports, developing surveys, and updating student handbooks and office materials. And More Salary: $53,966 to commensurate (Pay Grade: 2B) Schedule: Monday Friday, 8:00am to 5:00pm. Will require some work outside of designated business hours. Requires: Bachelor's degree in a relevant area, or an equivalent combination of education and relevant experience. Expertise with calendaring, word processing, and spreadsheeting applications (i.e. Microsoft Office Suite or Google G Suite). Demonstrates strong written, verbal, and interpersonal communication skills. Demonstrates exceptional organizational skills, attention to detail, and ability to successfully manage deadlines. Experience reconciling financial accounts. Demonstrates experience maintaining confidentiality. Demonstrates experience in providing superior customer service in a healthcare or academic environment. Highly Desirable: Experience with graphics software such as Canva and/or Adobe Photoshop or Adobe Creative Cloud Suite (or similar program). Experience creating and sending forms through cloud-based services, such as DocuSign. Experience building survey forms and data analysis utilizing Qualtrics, Survey Monkey, Sign Up Genius, Doodle Polls (or similar survey program). Working knowledge of web-based tools utilizing databases and internet searches. Experience with Virtual Meeting platforms such as Zoom, Microsoft Teams, Skype, WebEx (or equivalent). Transactional financial experience (cash handling and invoicing). Experience monitoring and reconciling budgets. Large group event planning experience, i.e. reviewing contracts, securing venues, set-up, purchasing supplies/equipment. Proven capacity to navigate high-volume interactions and collaborate with varied stakeholders in large-scale group settings. Knowledge and commitment to uphold federal regulations, such as the Health Insurance Portability and Accountability Act (HIPAA) and Family Educational Rights and Privacy Act (FERPA). Desirable: Experience serving on organizational committees, representing constituencies, and taking minutes/notes. Adaptability and critical thinking/problems solving skills.
