Job Summary

The Financial Aid Specialist provides support to the Financial Aid Department by processing financial aid, assisting students (parents if applicable), and other related duties with quality service.

Responsibilities

The following are the responsibilities of the Financial Aid Specialist, but are not limited to the following tasks;

Fiscal
  • Advises and counsels prospective and current student applicants about financial aid and required federal consumer information.
  • Assists students and parents with completing the FAFSA (checking accuracy and corrections of the application).
  • Processes applications according to federal guidelines or regulations; determines aid eligibility per FAFSA data, performs needs analysis calculations per cost of attendance, and makes necessary adjustments if needed to awards.
  • Authorizes disbursement requests of federal aid to third-party servicer and gives accounting/bursar copy of signed transfer of funds for posting.
  • Mails student correspondence as needed in regards to financial aid awards.
  • Gives accounting/Sr. Director of Finance & Operations a copy of form if needed for refunds.
  • Gathers R2T4 forms to determine if FSA funds need to be returned to the proper program.
  • Notifies students, third party servicer, and accounting/bursar of any Title lV funds that need to be repaid or returned to the department of education.
  • Processes other aid for scholarships, grants, assistance, Florida prepay, VA funding.
  • Maintains the integrity of financial aid record keeping process and keeping supplies on hand, including federal pamphlets, forms, handbooks.
  • Draws funds from FSA funds program accounts.
  • Posts payments and FSA received to students' account.
Communication
  • Answers questions, inquiries, or requests of students and/or parents, loan servicers, school staff, and regulated federal personnel in regards to financial aid awards or processing.
  • Provides entrance and exit counseling to student borrowers of Direct Loan programs.
  • Presents weekly Information Sessions for potential students with admissions representatives.
  • Attends required staff meetings when announced.
  • Act as a Federal Student Aid professionals.
Administration
  • Performs verifications of files selected by Department of Education for the verification process, such as requests, reviews, and compares income and household documents with the ISIR.
  • Accesses, researches, and enters appropriate data into federal government database systems.
  • Inputs information, adjustments for changes, or corrections for awards into the database.
  • Processes R2T4 forms and calculations for student that officially withdraw/drop from the institution.
  • Provides assistance in maintaining the Default Management procedures with providing loan assistance to current and prior students.
  • Processes certifications for VA students through VAONCE database system.
  • Processes bimonthly SSCR (Student Status Confirmation Report).
  • Maintains assistance with the Default/Delinquency Roster Tracking for student borrowers.
  • Provides support in clarifying and implementing regulations, policies, and procedures for staff, other institution personnel, and applicants.
  • Works in coordination with Senior Director of Finance & Operations to monitor Satisfactory Academic Progress and ensure that other programs are operating within compliance of institutional policies with respect to federal Title lV regulations.
  • Performs reconciliation of all Title lV-Financial Aid requested and disbursed to ensure records match the accounting/bursar office, ECM servicer, and COD records.
  • Oversees management of institution personnel required security tokens and assignments to government website access.
  • Works in coordination with the Program Directors to monitor Satisfactory Academic Progress and ensures that other programs are operating within compliance of institutional policies with respect to federal Title lV regulations and Veteran Affairs regulations.
  • Adheres to all standards required to keep institution in compliance with all regulatory boards (federal and state).
  • Maintains and updates information on laws and regulations that affect Title lV-Financial Aid and VA regulations.
  • Participates in institutional annual Financial Audit and (TAR) Technical Audit Review of student records.
  • Responsible for signing off on the annual audit final completion along with president.
  • Additional duties requested by the Senior Director of Finance & Operations or President.
Educational Requirements:
  • Associate's Degree in Accounting or related field required.
Qualifications:
  • Must have a minimum of one-year Financial Aid experience OR equivalent combination of education and experience.
  • Must be knowledgeable in Financial Aid/Title lV.
  • Knowledgeable of government rules, regulations, guidelines, and procedures of Title lV.
  • Must have accounting (A/R functions) and finance experience.
  • Must have effective presentation skills with small and large groups.
  • Experience in collection accounts and skip tracing.
  • Must have customer service experience.
Licenses/Certifications:
  • Maintains Continuing Educations Hours as required.
Essential Physical Skills:
  • Acceptable eyesight (with or without correction).
  • Acceptable hearing (with or without hearing aid).
  • Ability to communicate both orally and in writing.
  • Ability to access file cabinets for filing and retrieval of data.
  • Ability to sit at a desk and view a display screen for extended periods of time.
  • Ability to access input and retrieves information from a computer.
