Job Summary:

The Customer Service Representative is responsible for providing exceptional service to customers by addressing inquiries, processing orders, and resolving issues efficiently. This role involves working closely with the sales, production, and logistics teams to ensure customer satisfaction and smooth operations within the manufacturing process.

Key Responsibilities:

Customer Interaction:

  • Serve as the primary point of contact for customers, addressing inquiries via phone, email, or chat.
  • Provide detailed information about products, pricing, availability, and lead times.
  • Assist customers in product selection and order placement, ensuring accuracy and completeness of orders.
Order Processing:
  • Accurately enter and manage customer orders in the company's ERP system.
  • Track orders through the manufacturing process and communicate status updates to customers.
  • Coordinate with the production and logistics teams to ensure on-time delivery.
  • Issue Resolution:
  • Handle customer complaints, returns, and exchanges promptly and professionally.
  • Investigate and resolve order discrepancies, product quality issues, and delivery problems.
  • Work with internal teams to implement corrective actions and improve customer satisfaction.
Documentation & Reporting:
  • Maintain accurate customer records, including order history and communication logs.
  • Generate and distribute regular reports on customer service metrics, order status, and inventory levels.
  • Assist in the development and updating of customer service procedures and policies.
Collaboration:
  • Collaborate with the sales team to support account management and identify opportunities for upselling or cross-selling.
  • Liaise with the production department to prioritize orders based on customer needs and inventory levels.
  • Participate in regular team meetings to discuss customer feedback and suggest process improvements.
Qualifications:

Education:
  • High school diploma or equivalent; a bachelor's degree in Business Administration or a related field is a plus.
Experience:
  • Minimum of 2 years of experience in customer service, preferably within a manufacturing or industrial environment.
Skills:
  • Strong verbal and written communication skills.
  • Proficient in Microsoft Office Suite and experience with ERP systems (e.g., SAP, Oracle) is preferred.
  • Excellent problem-solving abilities and attention to detail.
  • Ability to multitask, prioritize, and manage time effectively.

  • Working Conditions:
  • Office-based role with occasional visits to the production floor.
