SUMMARY

The Sales Coordinator's primary job function is to provide material and operational support for all sales support functions within the department. Prepare, review and provide administrative assistance, while coordinating with guests. The coordinator is responsible for providing the best possible guest service in all aspects of the department. Routine contact with internal and external clients is fundamental to the success of the Sales department.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Primary duties and responsibilities include, but are not limited to, the following:

•Answer multi-line telephone system in order to receive/provide information from guests to Meeting & Event Sales managers.

•Communicate with guests for all business inquiries.

•Maintain multiple lead sources for inquiries from guests.

•Set up, maintain, and route guest inquires to hotel departments to ensure correct/current information is conveyed.

•Heavy data entry for group bookings.

•Maintain function book for accuracy.

•Process space hold requests from Sales and Event Managers.

•Process post event data for reporting.

•Compile and communicate various daily, monthly, and quarterly data reports as assigned by the Business Manager.

•Manage and communicate daily, monthly, and quarterly data to other departments.

•Assist Sales Manager with loading rates for varying inquires.

•Create/maintain documentation for guest/company reward point accumulation.

•Assist in assigning rewards for client redemption.

•Coordinate and confirm redemption appointment & reservations for hotels dining and recreation amenities and services.

•Conduct weekly and monthly audits and monitor group deposits.

•Communicate with Sales Managers and other departments to respond to guest needs.

KNOWLEDGE/SKILLS/ABILITIES

•Self-motivated, good organizational skills.

•Ability to be flexible with schedule as needed, based on business needs.

•Excellent computer skills including Word, Outlook, Excel.

•Knowledge of Delphi, AS400 - LMS, and hotel background preferred.

•Must be guest service oriented, personable with exemplary guest service skills, pro-active, and a team player.

•Excellent communication skills both written and oral.

•Must possess interpersonal skills to deal effectively with business contacts and team members at all levels of the company.

•Must possess a strong attention to detail and presentation skills. Ability to effectively present information and respond to questions from groups of managers, staff, guests, and the public.

•Results oriented, hands-on professional with the ability to resolve problems/conflicts in a diplomatic and tactful manner.

•Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.Ability to compute rate, ratio, percent, and to create and interpret bar graphs.

•Ability to define problems, collect data, establish facts, and draw valid conclusions through decisive judgment.

•Ability to interpret and follow through on a variety of instructions furnished in written, oral, diagram or schedule form.

EDUCATION and/or EXPERIENCE

•Must be a minimum of 21 years of age.

•Minimum 3 years of experience in clerical and/or administrative functions.

•Sales Admin/Coordinator & Client Service experience a plus.

CERTIFICATES AND LICENSES

Must obtain and maintain appropriate licensing: Alcohol Awareness Card.

The team member must occasionally lift and/or move up to 25 pounds.Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
