The Project Coordinator - Change and Communication for Children and Family Services supports the Project and Change Manager in the division of Children and Family Services within the Human Services Department. This position works with various internal and external stakeholders on all aspects of change management and strategic communication for the Children and Family Services division. Responsibilities include facilitating the adoption of and championing of new initiatives, driving communication strategies, implementing change plans, conducting process mapping, performing root cause analysis, and engaging stakeholders throughout various aspects of communication and change management efforts, ensuring that all initiatives are executed smoothly and effectively. The Project Coordinator - Change and Communication will prepare and review communication materials, assist in crafting and disseminating strategic messaging, and support the integration of best practices in change management. They will help ensure alignment with organizational goals, promote the incorporation of sustainability practices, and manage communication flow between division team members, supervisors, managers, consultants, and external partners. This position must operate through a diversity, equity, and inclusion lens, ensuring continuous quality improvement to meet the needs of the diverse families supported in Human Services. Assists in oversight of project implementation of change initiatives for Children and Family Services by coordinating with the Project and Change Manager, CFS Project Coordinator, DEI Specialist, stakeholders, and consultants to ensure timely and effective communication and adoption of changes. Develops and executes communication plans that articulate the purpose, benefits, and expected outcomes of changes. Ensures that all communication (written and oral) is clear, consistent, and aligned with the division’s goals. Facilitates engagement with internal and external stakeholders, gathering feedback and ensuring that all voices are heard throughout the change process by coordinating and facilitating work groups, steering committees, advisory committees, and other groups as needed. Prepares and reviews communication materials, change charters, risk management plans, and detailed change management plans that define how changes are communicated, executed, monitored, and controlled. Regularly assesses work and supports changes to remove systemic barriers, builds processes that address inequities, and integrates equity into all areas of work. Supports the ongoing development and implementation of communications strategies that are culturally relevant and responsive for populations served, including BIPOC and Latine individuals, LGBTQ+ populations, and people with disabilities. Develops and maintains standards for change management and communication, incorporating sustainability and innovation where possible. Conducts research to support stakeholder inquiries or requests from the Children and Family Services Leadership Team. Provides data-driven insights to inform change strategies. Produces and manages internal communications within the department, ensuring all team members are informed and engaged. Maintains a database of stakeholders and user groups, ensuring accurate and up-to-date records for effective communication and coordination. Integrates Diversity, Equity, and Inclusion (DEI) into internal and external goal setting, committing to a learning mindset and continuous improvement regarding the practice of DEI in all aspects of work within Adams County Children and Family Services. Minimum Requirements The knowledge and skills needed to be successful in this position are typically gained through the attainment of a bachelor’s degree or certification in communications, administration, business, project management, change management, or a related field. Strong verbal and written communication skills; ability to clearly convey complex information to diverse audiences. Experience creating and delivering presentations to stakeholders, teams, and leadership. Ability to understand stakeholder needs, concerns, and feedback effectively; ability to engage, influence, and manage resistance to change among different stakeholder groups. Understanding of change management frameworks (Kotter’s 8 step model, Lewin, ADKAR, etc.). Ability to track and coordinate multiple simultaneous tasks, ensuring deadlines are met. Ability to work with diverse teams including but not limited to IT, People & Culture, Communications, Human Services, Economic Mobility, and Operations. Excellent facilitation skills with incorporation of continuous quality improvement methods; working knowledge of tools such as fishbone, voting prioritization, root cause analysis, spaghetti diagram, swim lane map, etc. Experience with content creation tools such as Microsoft Office, Google Workspace, Canva, Prezi, Adobe Suite, etc. Ability to persuade and motivate others to adopt change; handle disagreements and conflicts effectively within teams between stakeholders, with the ability to discern when to escalate to leadership. Experience and Training Three (3) years of progressive experience in human services, communications, project management, change management, DEI, facilitation, continuous quality improvement, or related field(s). Demonstrated commitment to valuing diversity and contributing to an inclusive working and learning environment. Education and Training Bachelor’s Degree or certification from formal education in Change Management, Project Management, Communications, Business, Administration, Communications or a related field, and three years of responsible experience in project coordination, facilitation, strategic communication, change work, or other related work. An equivalent combination of education and work experience may be substituted on a year-for-year basis for the bachelor’s degree. License or Certificate: Colorado Driver’s License Background Check: Must pass a criminal background check. Other: At the time of appointment, candidate must be a legal resident of the state of Colorado. Ability to work in a standard office environment. Ability to utilize personal vehicle or other mode of transportation to attend offsite meetings, and travel to other public facilities in all types of weather.
