Description: The Administrative Assistant to the Sciences and Nursing is responsible to work under the direction of the Dean of Nursing (DON) to facilitate the operation of the School of Nursing and the Departments of Biology & Chemistry, and Mathematics, Engineering & Computer Science.

Qualifications: Advanced proficiency in Microsoft Office with two years of related experience. Must be able to multi-task and have a caring manner.

Appointment: This is a 12-month part-time position.

Performance Standards: It is the duty and responsibility of the Administrative Assistant for Sciences and Nursing to perform, at a satisfactory level, the following tasks:

  1. Provide confidential administrative support according to priorities outlined by the DON and other Academic Deans.
  2. Present a positive image of Bethel University by providing support, answering questions, and making referrals as necessary.
  3. Prioritize requests from faculty and students to ensure deadlines are met, using creativity and initiative.
  4. Complete special assignments needed to facilitate the smooth functioning of the school and departments.
  5. Maintain files and records to meet accreditation and university standards.
  6. Assist faculty and deans with teaching-related tasks (collecting syllabi/tests, posting notices, scanning documents, proctoring exams, etc...)
  7. Communicate with and assist faculty in the timely ordering of supplies and equipment, completing purchase orders (POs) as necessary, and adding purchases to inventory records.
  8. Supervise the use of all office equipment.
  9. Stock office supplies and organize the faculty workrooms.
  10. Prepare necessary memos, tests, reports, minutes, letters, syllabi, and other documents as necessary.
  11. Maintain confidentiality of tests, syllabi, and other documents.
  12. Maintain a record of faculty schedules, lab schedules, and student clinical schedules in order to locate individuals in a timely manner. Ensure faculty have their schedules posted on their office doors.
  13. Maintain budget records and prepare purchase order requests as indicated.
  14. Ensure office and classroom equipment used by the faculty are maintained in working order.
  15. Respond to publishing companies to ensure nursing faculty have up-to-date textbook information and maintain a comprehensive summary of textbooks utilized throughout the nursing program.
  16. Coordinate updating the school and department websites as needed and requested.
  17. Coordinate scanning of tests and creation of reports using the Scantron.
  18. Assist and/or coordinate testing-in of students, e.g. TEAS, Re-entry Challenge Exams, NLN, and other tests as directed by the DON.
  19. Coordinate and distribute student classroom and clinical evaluations to faculty as directed.
  20. Coordinate classroom requests and assignments.
  21. Coordinate maintenance requests and follow through to completion.
  22. Schedule vendors/recruiters under the direction of the faculty.
  23. Access faculty evaluations, coordinate minutes and file/post in necessary locations.
  24. Receive and return communication for the DON and academic deans as needed.
  25. Maintain and coordinate current list of agency affiliation agreements and vendor contracts.
  26. Maintain and update annually, or as necessary, all nursing faculty CVs, Boyer summaries, continuing education, and faculty contact information.
  27. Assist with faculty and student orientations.
  28. Assist as needed with reports to various accrediting and licensing agencies.
  29. Respond and assist with faculty and student problems and refer to appropriate individuals.
  30. Assist with special nursing and science events.
  31. Other various duties as assigned by the DON and academic deans.

In the past three years, the number of completed freshmen applications for admission has increased 18% and the number of first-time, full-time freshmen has increased 22% from 249 to 303. New academic majors have been added in Computer Science, Cyber Security, Christian Leadership, English as a New Language and Marketing.
