OFFICE AND COMMUNICATIONS MANAGER
Monday through Friday 8:00am-5:00pm
An individual in this role will be essential to maintaining the office's efficiency, supervising daily activities, and administering and executing marketing and social media initiatives. In addition to maintaining a positive work environment, your duties will involve staff management, office administration, compliance, and customer service.
Essential Functions:
Under the direction and supervision of the Director of Human Resources, the duties and responsibilities include, but are not limited to:
Supervise clerical staff, ensuring appropriate staffing and day-to-day operations in accordance with department policies and procedures.
Conduct regular performance evaluations and provide constructive feedback to team members.
Manage and delegate any special projects or tasks as requested from CEO or Directors.
Identify opportunities for process improvements and implement changes to enhance efficiency.
Assists office staff with their assigned duties, particularly when more advanced, skilled, or sensitive work is required.
Provides clerical support when needed to assist clerical staff with assigned administrative duties such as answering phones, sorting, and distributing mail, and preparing documents.
Coordinate agency events within the community or internally as needed, such as Wellness Days, promotional events, employee appreciation events and job fairs.
Organize photography and videography projects for promotion or internal purposes.
Design, order, and maintain Kalix apparel for employees and events.
Create, schedule, and oversee social media content across various platforms as requested.
Work with the CEO and Directors on developing and disbursing internal and external communications and newsletters.
Manage and update agency website.
Orders and distributes business cards, forms, and other office supplies.
Chair the agency’s Marketing Committee.
Research, identify, and promote grant opportunities that align with the organization's mission and goals.
Plan and execute fundraising initiatives, including direct mail campaigns and special events, to secure financial support for the organization's programs and initiatives.
Maintain administrative records and files for reference, historical, and compliance purposes.
Review and maintain agency forms, lists, and directories with relevant information.
Oversee inventory management and vendor management to ensure cost effectiveness.
Manage office space, Conference rooms, furniture, and keys for employees.
Performs administrative tasks for executive and key senior staff, which may include maintaining calendars and schedules, making travel arrangements, and preparing and submitting expense reports.
Other duties as assigned.
Qualifications:
Bachelor’s degree in business, marketing, or a related field with a minimum of three years of office experience and two years of management experience preferred.
Must complete a successful background check.
Excellent communication, leadership, problem-solving, and critical thinking skills.
Required Knowledge, Skills, and Abilities:
Strong organization skills
Strong interpersonal skills
Computer literacy specifically with Microsoft.
Detail oriented with the ability to meet schedules and honor deadlines.
Willingness to learn and adapt as needed.
