As a Sales Coordinator you will be an important contributor to a Global Team team providing critical support and developing an intimate understanding of Givaudan project management systems. As an important member of the team, you will be the liaison with the account executives and teams across departments and regions, to provide critical support on the accounts and business systems. You will also develop professional relationships with both our teams and with the customer's contacts.

Location: East Hanover, NJ
Reporting to: Regional Account Manager

Supporting our business:
* Administer creative briefings and sample requests from initiation through to completion and preparation for submission. Manage materials and samples for client presentations, help build client presentation collateral display materials. Perform special projects (maintain customer information, provide clerical support and organize meetings). Ensure client comfort and manage logistics during visits to Givaudan. Being the liaison between clients and internal personnel.
Communication:
* Respond to internal and external inquiries using systems knowledge, creative investigation and follow up techniques. Provide the business team with information on clients' requests, insights, and communications. Represent the team with meaningful client interface. Coordinate schedules and communications. Attend team meetings to review workflow, provide updates and take notes. Coordinate and maintain up to date global databases such as pricing, portfolio management or regulatory.
Administrative Support:
* Are an interdepartmental coordination specialist (liaison with Customer Service, Purchasing, Operations, Distribution, Planning, Pricing, Labs, Regulatory, QC,). Update projects; attach price quotations, fragrance descriptions and customer-specific documentation. Maintain product base's stock, product packaging arrivals and update project assignment. Prepare samples for shipment, request and include supporting documentation. Provide important shipping and tracking information. Brief entry and support, creation of NBO documentation to ensure smooth transition of new wins to production. Provide back-up and administrative support to the larger global team. May be responsible for additional tasks on our needs.
* Provide comprehensive support to the team in the region, including managing travel arrangements, scheduling client meetings, handling personal expenses, and assisting with several administrative tasks to enhance overall sales operations.
* Organize meetings and creative events with the client. This includes ensuring that all venues are prepared, generating ideas to enhance our client experience and delivering exceptional service. You will also communicate with partners to ensure agreement and collaboration throughout the execution process, guaranteeing a seamless and memorable event.

Required Skills and background:
* Bachelor's Degree
* At least 2 years of experience in a sales environment
* You have experience building professional relationships
* MS Office suite, Google Mail, SAP knowledge
* Knowledge in Givaudan systems.
