Assistant Controller

POSITION OVERVIEW

The Business Office is responsible for providing financial and accounting services. The Assistant Controller performs all monthly accounting tasks including manual journal entries, system interfaces producing monthly reports, and completing account reconciliations. The Assistant Controller also provides key data for the annual financial statement audit including preparation of financial statements, footnote schedules and PBCs. The Assistant Controller is also responsible for the preparation of the Form 990. This position is the primary liaison with the Office of Institutional Advancement (OIA) for purposes of setting up new donor funds, reconciling G/L to the OIA giving reports and providing data for stewardship purposes. Ad hoc analysis is also a major part of the position.

Position Status: Salaried, exempt, full-time (40 hrs) regular, 12-month

Hours of Work: On campus each day. Evening and weekend work may be required.

ESSENTIAL RESPONSIBILITIES
  • Complete all monthly general ledger entries and any related analysis as requested including manual system interfaces from Payroll, POS Student Billing and Donation Management systems.
  • Responsible for endowment and investment accounting.
  • Responsible for Donor gift and pledge accounting and reconciliation with Donation Management system (Raiser's Edge)
  • Assist OIA with stewardship reporting.
  • Responsible for recording bookstore inventory and sales activity including periodic inventory counts and reconciliation.
  • Complete all fund accounting entries including endowments.
  • Assist with Auxiliary programs accounting needs and reconciliations.
  • Complete account reconciliations including cash, investments, donor receivables and miscellaneous other accounts.
  • Complete month-end close by the tenth workday of the following month.
  • Prepare and distribute all monthly operating, fund balance sheet, campaign and analysis reports as well as agency account reports to third parties (e.g., Catbackers, PAWS, etc.)
  • Serves as a backup for Accounts Payable and Accounts Receivable.
  • Assists internal control assessments and process documentation.
  • Assist with preparing annual audit PBCs and other pertinent accounting pronouncement analysis and disclosure for audit.
  • Prepare financial statements, cash flow statements and notes.
  • Assists with annual audit needs including testing support.
  • Assists with preparation of the Form 990 organizer.
  • Assist Controller with Board and Committee meeting needs
  • Internal system administrator for accounting and reporting systems.
  • Provide training and daily user and system support for NetSuite and Oracle (NSPB)
REQUIREMENTS AND QUALIFICATIONS
  • Bachelor's degree in Accounting or Finance (B.S. or equivalent) from a four-year college or university is required.
  • Minimum of three to five years experience in accounting and/or audit, with the following preferences: non-profit fund accounting, pledge/gift accounting, endowment accounting (unitization and spending distributions), investment accounting, experience with writing financial statement footnotes and preparing Form 990 for non-profit organizations.
  • Responsibility in accounting and asset management or financial statement audits, and/or Direct exposure to working in an independent school or college/university environment or experience auditing a similar entity or non-profit.
  • Strong attention to detail
  • CPA or CPA candidate preferred but not required.
  • Experience with NetSuite and Oracle NSPB software is also a plus, but not required.
  • Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, and governmental regulations.
  • Ability to write reports, business correspondence, and procedure manuals.
  • Ability to effectively present information and respond to questions from groups of administration, budget managers, parents, faculty/staff, and the general public.
  • Ability to calculate figures and amounts such as discounts, interest, proportions, percentages, etc.
  • Ability to define problems, collect data, establish facts, and draw valid conclusions.
  • Ability to speak effectively before vendors or employees of the organization.
  • Ability to use computerized financial systems including accounts payable modules and payroll systems, strong data entry, typing, and 10 key calculator skills. Ability to use Microsoft Office.
  • Ability to use advanced Excel functions including pivot tables, lookup functions and macros.
  • Interpersonal skills such that communication with budget holders, other employees and vendors is handled effectively and diplomatically.
  • Strong organizational and time management skills.


PHYSICAL DEMANDS AND WORK ENVIRONMENT

While performing the duties of this position, the employee is required to sit; stand; walk; use hands to finger, handle and feel objects, tools, or controls; reach with hands and arms; climb stairs; balance; stoop, kneel, crouch and crawl; talk and hear. The employee may occasionally lift or move up to 20 pounds. Specific vision abilities required by this position include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.

TRAVEL

Travel is primarily local during the regular business day. Overnight and out-of-area travel may also be required.
