Position Purpose:

The IT Site Education Lead oversees all aspects of technology training initiatives within the entity. This includes identifying trainers, scheduling sessions, coordinating resources, and ensuring effective communication between departments and the Institute of Learning (IOL). The Lead is responsible for the seamless execution of training programs and serve as the primary point of contact for all training-related matters.

Key Job Activities:
  • Accountable for coordination of entity training for technology implementation projects, upgrades, and optimizations.
  • Accountable for identification of trainers and super users, assignment of end user training tracks, training schedule development and tracking, and activation support scheduling. Additional accountabilities include development.
  • Develops and coordinates of the site's technology training scheduling process, training room scheduling and readiness for technology training, duplication and distribution of technology training curriculum and materials, coordination of technology training communication, and resource for department managers, technology trainers and super users.
  • Through collaboration with the IOL activation and training specialist, provides weekly training status reports to the project team and entity leaders.
  • Serves as the primary point of contact for the IOL training manager and activation and support specialist.
  • May delegate tasks so long as oversight is maintained.
  • Facilitates the Process Training and Technology Council (PTTC) meetings and coordination of Epic support with Pointcore.
  • Ensures timely delivery of information required for training plan development.
  • Identifies and logs the entity departmental training contacts (names, title, email address, and contact number)
  • Identifies and gains approval of physical space use to support technology training activities. For initial Pointcore implementation, scope is dependent on Pointcore space coordinator accountabilities and overall project needs.
  • In collaboration with IOL activation specialist, oversees installation, testing, and maintenance requests for equipment in technology training rooms.
  • Collaborates with entity leaders and IOL activation specialist in the identification of technology trainers, super users, and training support staff.
  • Coordinates technology trainer schedules and space allocation throughout the activation training process.
  • Identifies individuals responsible for proctoring Epic certification exams and Epic trainer exams.
  • Coordinates learner scheduling for class attendance.
  • Coordinates the daily distribution and collection of class attendance rosters.
  • Coordinates duplication and distribution of training materials.
  • Assists with computer literacy assessment and development of plan to remedy deficits.
  • Collaborates with IOL activation and support specialist and department managers to identify English as a second language training impact and strategy.
  • Collaborates with the IOL activation and training specialist and Marketing and Communications team to develop and distribute technology training communications.
  • Coordinates user access security validation event in collaboration with assigned project manager.
  • Collaborates with IOL activation and training specialist and IT security team to ensure all end users are trained prior to activation of an end user production user ID and password.
  • Serves as contact resource for technology trainer, super user issue resolution / escalation. Escalate as appropriate.
  • Coordinates compilation and distribution of technology training status reports to entity leaders.
  • Develops and maintains support schedule of entity trainers and super users.
  • Support staffing of onsite training command center.
  • Assists in dispatching technology training resources to callers.
  • Maintains technology training team for all technology applications.
  • Continually assesses training resources for gaps and enroll new trainers as needed.
  • Reports to IOL vacancies within the entity's training team.
  • Implements site-specific plan for maintaining super users throughout the entity.
  • Coordinate completion of the quarterly upgrade new version technology trainer training and identify actions to remedy the gaps.
  • Provides training status updates for projects to entity leaders.
  • Collaborates with entity managers to ensure all new hire/transfer end users are trained prior to documenting/ entering data into the system.
  • Maintains entity resources to proctor Epic certification exams (if allowed) and technology trainer exams.
  • Educates new leaders on technology training process and requirements.
  • Is responsible for identification of technology trainers, super users, and support staff on time as designated within the training project plan.
  • Ensures compliance with training standards by all individuals and departments within the entity.
  • Coordinates and distributes weekly technology training course scheduling and training status reports.
  • Performs other duties as assigned.
Education and Work Experience:
  • Two years of proven IT experience in acute care hospital system.
  • Experience coordinating interdisciplinary projects and completing weekly status reports.
  • Experience with staff education, online learning, adult learning principles, approaches, etc., preferred.
Knowledge and Skills:
  • Experience in EPIC software system preferred.
  • Technical knowledge across services and telecom support (MS Windows Services, Mobile Services, Networks, etc.).
  • Proficient with Outlook, Word, and Excel, Active Directory, MS Project.
  • Experience with project management.
Certifications/Licenses:
  • EPIC Certifications preferred.
