Overview:

Highlight Technologies is seeking a Program Assistant to support USAIDs Bureau for Planning, Learning and Resource Management (PLR), which develops policies and strategies that guide and help USAID achieve their worldwide mission to end extreme poverty and help develop democratic societies.
You will be responsible for assisting the Bureau Front Office (FO), Office of the Assistant to the Administrator, (AtA) with daily tasks including but not limited to: providing direct administrative support for one or more Front Office principals (calendar management, meeting preparation, facilitation of clearances) drafting memos and other written communications, organizing and coordinating both internal and external meetings, as well as other activities.

Responsibilities:

Provides direct administrative support to one or more Front Office Principals which includes strategic calendar management and scheduling, preparation and compilation of meeting materials, providing logistical support for meetings, conducting follow up from meetings, and any other administrative support requested by the principal within reason.
Completes travel authorization processes for Front Office principal(s) including making travel arrangements; securing clearances, country travel concurrences, and visas; and voucher preparations, as needed. Provides management and advice on travel procedures for PLR staff.
Performs note-taking, drafting, and circulation of meeting minutes.
Reviews, tasks, and tracks a variety of technical documents. Applies administrative policies, maintains various systems and databases, and handles other staff requirements
Performs outreach and communication with internal and external stakeholders both orally and in writing.
Manages a shared, organized electronic filing system.
Ensures all briefers and clearances are complete and submitted in a timely fashion by PLR FO Principal(s).
Edits and drafts correspondence, recommendations, reports, and memoranda related to the work of Front Office Principals. Provides advice and guidance to managers and employees on questions and situations related to the administrative services provided.

Qualifications:

US Citizenship
Active Secret preferred.
Bachelors degree
2 or more years of experience working in a related position
International relations background preferred
USAID experience preferred.
Relationship management experience and ability to work under short-term deadlines.
