The Onsite Office Manager will play a pivotal role in ensuring the smooth operation of our office and administrative functions. This individual will be responsible for managing day-to-day office activities, handling invoicing processes using Oracle software, and providing administrative support to various departments.

Responsibilities:

- Manage all aspects of office operations, including invoicing customers, coordinating customer shipments, office supplies procurement, and customer relations.

- Overseeing Warehouse and coordinating the incoming and outgoing shipments containers accordingly.

- Coordinating customer shipments with third party trucking companies and making sure timely shipments.

- Oversee reception duties, including answering phones, greeting visitors, and directing inquiries to the appropriate personnel.

- Process customer invoices accurately and in a timely manner using Oracle software. (Important), Also managing customer account limits and making decisions to proceed with order or not.

- Collaborate with the accounting department to reconcile billing discrepancies and ensure accurate financial records.

- Assist with accounts receivable and accounts payable functions as needed.

- Maintain and organize office files, documents, and records in both physical and electronic formats.

- Support various departments with administrative tasks, including data entry, report generation, and correspondence drafting.

- Handle confidential information with discretion and maintain a high level of professionalism at all times.

Qualifications:

- Bachelor's degree in Business Administration, Accounting, or related field preferred.

- Minimum of 3 years of experience in office management or administrative role.

- Proficiency in using Oracle or similar ERP software is required.

- Strong organizational skills with the ability to prioritize tasks and manage multiple deadlines.

- Excellent attention to detail and accuracy in data entry and record-keeping.

- Strong interpersonal and communication skills, both verbal and written.

- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).

- Ability to work independently with minimal supervision and as part of a team.

- Arabic or Turkish or Armenian Language is a bonus.
