Hartford HealthCare Medical Group is one of the largest medical practices in New England with multiple locations throughout Connecticut and Rhode Island. We consist of a team of professionals ranging from Medical Assistants to Physician Assistants and everything in between. Job Description

Performs multi-dimensional administrative tasks that require creativity and independent, discretionary judgment to meet the needs of the Cardiac Surgery Service Line. Conducts and acts with a high level of service, and serves as the primary administrative support for surgeons, APP and office teams. Participate in activities dealing with sensitive and confidential issues and information. Coordinate and enters requisitions/purchase orders into PeopleSoft or related system. Creates provider call schedule and coordinates provider ATO time. Monitor inventory and order a variety of different office and technical supplies. Schedule appointments and coordinate meetings for Surgeons, Director and APP, office staff. Meets regularly with Chief of Cardiac Surgery. May act on behalf of leader on routine matters within established guidelines such as provide patient service recovery. Supports provider and new hire onboarding and offboarding processes. Reports to the service line director for cardiac surgery.

  • Scheduling site tours, office visits and other meetings of this caliber
  • Perform entire onboarding process (Zoom meetings, Interview scheduling and meeting schedules)
  • Manager outlook calendars for surgeons and leadership
  • Attending various meetings and transcribing actionable meeting agendas and notes
  • Creating excel and power point presentations
  • Ordering and ensuring supplies are in stock
  • Managing and schedules surgeon and staff office events
  • Composing correspondence via email and in person
  • Ordering computer and phone equipment
  • Organizing and assisting with managing provider and office team schedules
  • Booking conference room, training and office spaces
  • Supports office needs for escalating/troubleshooting maintenance/IT concerns, etc

Qualifications

Education

  • Associates Degree or experience in lieu of education


Experience

  • Three years higher level previous administration/secretarial experience. Basic keyboard skills with proficiency in use of personal computer. Good communications skills. Microsoft office proficient. Good interpersonal and organizational skills.

Knowledge, Skills and Ability Requirements

  • Highly disciplined self-starter with solid collaboration & communication skills.
  • Skills in Microsoft Office applications (specifically Power Point, Outlook, Work and Excel) is required.
  • Some analytical skills regarding purchase order
  • Detail-oriented with excellent organizational skills
  • Ability to multi-task, responds well to pressure and deadlines, and works well individually and in a team environment.
  • Flexible and able to adjust to changing priorities or requirements in a fast-paced environment
  • Have effective communication skills-- both verbal and written-- to recognize pertinent language patterns and correlations that lead to business value.
