About the Role
We are seeking a Corporate Lobby Concierge & Front Desk Coordinator to help manage and enhance the first impressions of our employees, visitors, and clients. What You'll Do
- Lobby & Visitor Coordination:
- Open and close the corporate lobby, preparing for visitors, employees, and activities. Act as the "CEO" of first impressions, greeting guests and ensuring they feel welcome and informed of the status of their visit.
- Concierge & Communication Resource:
- Serve as the main point of contact for internal and external stakeholders, providing clear communication and assisting with visitor pre-registration, ensuring compliance with NDA and CTPAT requirements. Be the go-to resource for visiting employees from around the globe.
- Room Scheduling & Organization:
- Manage and coordinate conference room reservations, resources, and special room projects. Ensure meeting spaces are equipped and ready, catering to specific event needs, whether for team meetings or large-scale events.
- Event & Project Coordination:
- Collaborate with cross-functional teams on special events such as GTC, photoshoots, and company-wide meetings. You'll help facilitate seamless event execution and contribute to key moments in the company's calendar.
- New Hire Support:
- Assist with New Hire Orientation (NHO) by offering an excellent employee experience and helping new employees obtain necessary badges, creating a positive first-day experience.
- Visitor Badge Management:
- Maintain visitor badge inventory, ensuring accuracy and smooth operations for both short and long-term access.
- Collaboration with Internal Teams:
- Partner with the Security and RESS teams to coordinate requests and assist with building walk-throughs, conference room needs, and special projects. You will also work alongside the EBC Center to support high-level customer visits.
- Continual Improvement:
- Keep updated corporate resource binders and proactively update processes, systems, and procedures to improve service quality and streamline operations.
- Experience:
- Minimum of 3+ years of experience in a front desk or customer-facing role, ideally in a corporate setting.
- Educational Background:
- A high school diploma or equivalent experience is required.
- Communication Skills:
- Strong verbal and written communication skills with the ability to convey clear and concise information. You're the first point of contact, so a professional, friendly, and articulate demeanor is a must.
- Attention to Detail:
- Ability to handle confidential matters with discretion and accuracy. Your attention to detail will ensure a smooth and professional experience for all visitors.
- Time Management & Organization:
- Strong organizational skills with the ability to prioritize tasks in a fast-paced environment. You'll need to manage multiple tasks simultaneously without sacrificing quality.
- Team Player:
- Ability to work independently with minimal supervision while also collaborating effectively with teams. You should be proactive, flexible, and able to adapt to changing schedules and requests.
- Problem Solving:
- Critical thinking and excellent problem-solving skills are essential for managing building needs, resolving guest queries, and overcoming challenges efficiently.
- Customer Service Focus:
- Excellent interpersonal skills with the ability to work well with a variety of people, maintaining a positive, customer-first approach in all interactions.
