Administrative Coordinator The Administrative Coordinator provides administrative office support for the Office of Academic Affairs and assists in the coordination of activities, projects, and tasks within the Office of Academic Affairs. Serves as Academic Council secretary, liaison to the SCTCS Academic Affairs Office, and oversees/updates external program communications. Provides administrative and clerical support for the daily operations of the Office of Academic Affairs. This includes but is not limited to greeting and directing visitors, taking incoming calls and routing messages, assisting in the development of agendas and talking points, maintaining open communication with all personnel on campuses, preparing all outgoing correspondence and responding to incoming correspondence. Additionally, the administrative coordinator maintains the calendar of the Chief Academic Officer, schedule appointments, and manage supplies and forms. Serves as Academic Council Secretary, attends all meetings, and transcribes the minutes. Responsible for Academic Council Form creation and management. Ensures all Academic Council approval paperwork is completed properly for presentation to Academic Council. Ensures all paperwork and notifications are properly distributed. Responsible for the utilization of Ad Astra scheduling software for Academic Affairs. Responsible for chairing the Ad Astra scheduling committee. Serves as the primary contact for the scheduling of classes/labs utilizing Ad Astra. Provides back up to the Colleges' primary Business Affairs Ad Astra administrator. Trains administrative specialists and other faculty/staff in Ad Astra applications as necessary. Responsible for utilization of Colleague and Dynamic Form processing in Academic Affairs. Manages reservations and travel for the CAO and external parties working with the CAO as directed. Manages and coordinates meetings for CAO. Tracks expenditures and encumbrances for multiple O&M and equipment budgets for the Chief Academic Officer. Prepares and submits purchase requisitions, prepares and submits monthly budget reports to the CAO. Reviews all purchase orders and documents for reimbursements of various types to the CAO for accuracy and completion and communicates needed corrections to submitters as needed. Serves as the liaison for the SCTCS for Academic Affairs. Attends all training sessions. Completes all paperwork for academic revisions, updates, approvals, etc. Attends meetings as needed and maintains ongoing communications with the Technical College System academic affairs personnel. Ensures Technical College System portal is kept current. High School diploma and relevant experience in business management, public administration, or administrative services. Bachelor's degree may be substituted for the required work experience. Associate or bachelor's degree in business management, public administration, or a related field, and a minimum of two years of relevant experience are preferred.
