Responsibilities and Expectations:

Integrated Power Services (IPS) is looking for a dedicated Sr. Administrative Assistant. The Administrative Assistant will have the responsibility for providing administrative support for Management, HR and Customer service. Responsibilities may include:
  • Must be able to work in a fast-paced environment, be well organized and be able to multi-task.
  • Intermediate to advanced experience working in the Microsoft Office Suite.
  • Process billing and deliver invoices for all repair and field service projects.
  • Open customer accounts and process credit applications
  • Schedule and coordinate all third-party training and meetings.
  • Process and track all PTO records.
  • Deposit Checks per Accounts Payable procedures
  • Assist sales team with Accounts Receivable collections.
  • Maintain local HR Files
  • On-board new employees
  • Scan and file all repair and field service paperwork per record retention procedures.
  • Adhere to all company policies.
  • Observe all safety procedures and policies and use proper protective equipment (especially eye, ear protection and steel toe shoes/boots, gloves, etc.).
  • Keep work area clean and organized.
  • Report all injuries, near hits and accidents immediately to a supervisor.
  • All other duties as assigned.
Qualifications and Competencies:
  • Associate's degree (A. A.) or equivalent from two-year College or technical school; or a minimum of three to five years administrative related experience and Human Resources or equivalent combination of education and experience.
  • Must have intermediate to advanced skills working in Microsoft Office products.
  • Must be able to work independently with the ability to multitask and work in a fast-faced environment.
  • Bilingual in Spanish a plus.
