Job Description

POSITION SUMMARY:

  • The Protocol Officer will play a pivotal role in ensuring the smooth execution of protocol-related matters, event planning, and communication management within the organization. This position requires a deep understanding of national and international protocol rules, formal diplomatic customs, and etiquette. The Protocol Officer will be responsible for planning and coordinating ceremonies, social functions, and receptions for distinguished visitors, both military and civilian, from the United States and foreign countries. The role entails fostering effective working relationships with military, civilian, and foreign representatives while adhering to established protocol standards.
JOB DUTIES:

Protocol Expertise:
  • Demonstrate extensive knowledge of national and international protocol rules, customs, courtesies, and etiquette.
  • Ensure appropriate planning and coordination of ceremonies, social events, and receptions honoring visiting dignitaries.
  • Pay close attention to the cultural, religious, and status backgrounds of visiting dignitaries.
Effective Communication:
  • Establish and maintain cooperative relationships with representatives from various organizations to facilitate cooperation in protocol functions.
  • Communicate effectively within the organization, including with the Detroit Arsenal's Command group and other relevant parties.
VIP Management:
  • Develop itineraries for foreign and domestic VIPs, ensuring synchronization with relevant command and security personnel.
  • Arrange seating during events and meetings according to established protocols and attendee ranks.
Event and Meeting Coordination:
  • Plan and coordinate ceremonies, meetings, and events, including Industry Days, Congressional Demonstrations, and more.
  • Manage logistical aspects of events, including lodging, transportation, and on-site arrangements.
Documentation and Reporting:
  • Research, maintain, and provide summaries of visiting VIPs' political, economic, and social aspects to PEO staff.
  • Prepare information packets, presentations, and invitations, ensuring compliance with protocol and cultural sensitivities.
Media and Public Affairs:
  • Coordinate press release information and photo opportunities with public affairs personnel while adhering to security requirements.
  • Provide support for government and community events to enhance stakeholder relationships.
Internal Communications:
  • Develop and implement effective employee communications aligned with PEO's goals and mission.
  • Collaborate with Public Affairs to create and maintain a database of event locations, registration details, and points of contact.
Leadership Support:
  • Assist in planning and coordinating transition and assumption of command events for military and civilian leaders.
  • Support the preparation of art, photos, and non-technical writing tasks for internal and external issuance.
Knowledge:
  • Knowledge of the regulations concerning the Army Commander's Contingency Fund to assure proper use of expenditures and adequate record keeping.
  • AR 600-25, Salutes, Honors, Visits and Courtesies
  • AR 840-10 Flags, Guidons, Streamers and Tabards
  • FM 225 Drill and Ceremony
  • Order of Precedence and VIP Codes
  • Proper Salutations, experience with military (Army specifically) customs and courtesies
  • Sequence of a variety of ceremonial events, Proper flag placement
  • Domestic and Foreign visits, ceremonies, and special events.
Requirements

EXPERIENCE:
  • At least seven (5) years relatable experience
  • Strong knowledge of military and diplomatic protocol rules, customs, and etiquette.
  • Excellent communication, interpersonal, and organizational skills.
  • Event planning and coordination experience, including logistics and protocol.
  • Proficiency in maintaining effective working relationships with various stakeholders.
  • Attention to detail and cultural sensitivity when planning events and interacting with dignitaries.
  • Proficiency in standard office software
EDUCATION:
  • Bachelor's degree in a relevant field or equivalent experience.
CLEARANCE LEVEL:
  • Secret
WORK ENVIROMENT:
  • Must have ability to work on-site
