Rydberg Technologies is a leading U.S. quantum technologies R&D company and product manufacturer for customers in the commercial, government and defense industries. We are seeking a multi-faceted, highly skilled and motivated Operations Manager / Executive Assistant to join our team. This is a hands-on role in which you will oversee and optimize the day-to-day operations of our growing small business. You will be responsible for overseeing various operational functions in departments including HR, facilities, safety and compliance, information technology, R&D and manufacturing, finance, and government accounting. You will have a crucial role in ensuring smooth operation of our growing organization and efficient business processes, managing resources, and implementing strategies to drive productivity, growth, and profitability. The ideal candidate will have strong leadership abilities, excellent hands-on problem-solving skills, and a solid understanding of business operations across various functional areas. A background or experience in the quantum and photonic science and technology industry, and program management for government and defense is highly desirable.

In this role, you will be responsible for overseeing, optimizing, and evolving the overall operations of our organization, ensuring compliance with regulations, implementing efficient processes, and managing multiple functional areas. The ideal candidate will possess a strong understanding of business operations, exceptional people and leadership skills, a strong R&D program management skillset, and the ability to navigate complex regulatory and contractual requirements in government and defense contracting.

Responsibilities include:

1. Operations Management:

-Develop and implement operational strategies, policies, and procedures to enhance efficiency and effectiveness.

-Oversee the day-to-day operations, ensuring smooth workflow and timely delivery of R&D efforts for government customers and commercial products/services.

-Identify opportunities for process improvement and implement measures to streamline operations.

-Monitor key performance indicators (KPIs) to track operational performance and identify areas for optimization.

2. Human Resources Management:

-Develop and implement HR strategies, policies, and procedures to attract, retain, and develop a highly skilled workforce.

-Oversee recruitment, onboarding, performance management, and employee relations activities.

-Ensure compliance with labor laws, regulations, and internal policies.

-Coordinate training and development programs to enhance employee skills and knowledge.

3. Compliance Management:

-Establish and maintain a comprehensive compliance program aligned with applicable laws, regulations, government, and industry standards.

-Conduct regular audits and risk assessments to identify areas of non-compliance and implement corrective actions.

-Develop and deliver compliance training programs to educate employees on policies, procedures, and ethical conduct.

-Stay updated on regulatory changes and ensure ongoing compliance with relevant requirements.

4. Finance and Accounting:

-Support financial operations, including budgeting, forecasting, financial reporting, and analysis.

-Monitor and control expenses, identify cost-saving opportunities, and ensure compliance with accounting standards.

-Collaborate with stakeholders to develop financial plans, evaluate investment opportunities, and support decision-making processes.

-Implement and maintain effective internal controls and risk management practices.

5. Government and Defense Contracting:

-Familiarity with government regulations, contracting processes, and compliance requirements.

-Support and manage the preparation and submission of government contract proposals and bids.

-Oversight of contract negotiation, administration, and compliance throughout project lifecycles.

-Collaborate with management, finance, legal, and technical teams to ensure adherence to contractual obligations and resolve any disputes.

6. Facilities Management:

-Oversee facilities operations, including laboratory management, space planning, maintenance, security, and safety.

-Develop and implement policies and procedures to ensure a clean, safe, and productive work environment.

-Manage vendor relationships and contracts related to facility services.

-Plan and execute business continuity and disaster recovery strategies.

7. Information Technology:

-Collaborate with IT to align technology solutions with business objectives.

-Oversee IT infrastructure, systems, and security to ensure operational efficiency and data protection.

-Oversee the development and implementation of IT policies and procedures, including data governance and compliance.

-Stay abreast of emerging technologies and recommend innovative solutions to improve business operations.

Qualifications and Skills:

  • Bachelor's degree in Business Administration, Management, or a related field. MBA preferred. A degree or experience in physics, engineering, or related hard sciences preferred but not required.
  • Proven experience in hands-on business operations management, with expertise in HR, compliance, finance and accounting, government/defense contracting, facilities, and IT.
  • Strong knowledge of relevant regulations, standards, and best practices.
  • Excellent leadership and decision-making skills.
  • Exceptional problem-solving and analytical abilities.
  • Excellent communication and interpersonal skills.
  • Proficiency in project management and process improvement methodologies.
  • Strong attention to detail and ability to handle multiple tasks simultaneously.
  • Demonstrated ability to work effectively in a team-oriented, collaborative environment.
