Position summary:

The Program Logistics Specialist provides administrative support to the GS Impact and Multicultural Services teams. In this role, you will help support day-to-day operations in partnership with the GS Impact and Multicultural Services Leadership Team. Primary responsibilities include maintaining team calendar, scheduling meetings and events, supporting planning of field trips, overseeing vehicle rentals and bus charters, and monitoring team tracking systems.

Reports to: Multicultural Manager

FLSA Status: Regular, part-time, non-exempt

Essential Duties & Responsibilities
  • Create and maintain program site and meeting schedules.
  • Manage office support and workflow efficiency such as mail distribution, ordering office supplies and program snacks, monitor registration and clearance renewals.
  • Manage team shared inbox and delegate to appropriate program coordinator and/or site lead.
  • Collaborate with program coordinator to support program logistics, including but not limited to planning field trips, securing transportation, and ordering supplies.
  • Provide event planning support to Multicultural Services Team.
  • Support planning and scheduling of Multicultural Circle of Influence meetings and events.
  • Execute timely and accurate communication.
  • Maintain, monitor, and implement health, safety and crisis/emergency procedures to ensure compliance with regulatory requirements.
  • Utilize technology to ensure accurate records/reports are kept including cookie participation, camp, and event registration.
  • Provide exceptional customer service and communicate effectively with staff, parents, volunteers, and public; handle all inquiries in a timely matter.
  • Participate in council and team meetings, as required.
  • Perform other duties as assigned.
Required Knowledge, Skills, and Abilities
  • Bilingual preferred (English/Spanish).
  • Experience in program logistics and/or other nonprofit experience a plus.
  • Excellent written/verbal communication and interpersonal skills.
  • Proficiency of Microsoft Office Suite, email, and Internet applications. Ability to learn new software as required.
  • Ability to work under pressure, manage work time, meet deadlines, and handle a heavy workload in a positive and flexible manner.
  • Ability to give and receive information by telephone, in writing, and in person.
  • Ability to clearly communicate verbally and in writing with volunteers, peers, and supervisors.
  • Excellent organizational skills.
  • Willingness to take responsibility for self-directed learning and participate in staff development opportunities when offered.
  • Knowledge of, or willingness to learn, the Girl Scout Leadership Experience
  • Bachelors degree or equivalent related work experience.
  • Management experience preferred.
Physical Ability/Certifications
  • Physical ability and strength to lift objects weighing 30 pounds.
  • Must be able to sit at a computer terminal for up to three hours at a time.
  • Must be able to stand for two and a half hours per day.
  • Valid drivers license, insurance, and reliable transportation.
