Digifabshop is looking for an experienced HR Coordinator to join our rapidly expanding team.

***Position is located on-site in Albany, NY and will report to (remote) HR Director
Flexible Schedule with Part Time hours.


Digifabshop specializes in custom architectural interiors, building components, and fine art fabrication. Our work spans retail, hospitality, commercial, architectural features, and large-scale artwork. Our team works on technically ambitious, high-profile projects of complexity and scale.

Digifabshop is located in the Port of Albany. This is an onsite position working in partnership with the HR Director. This position is responsible for coordinating and assisting with all HR operational processes and procedures including payroll and benefit administration, HR documentation, recordkeeping, and compliance.

This is a new position, working hand-in-hand with our HR Director. We're looking for someone who thrives in a start-up environment and enjoys collaboration. This is an ideal opportunity for someone in the early stage of their career with a recent HR degree or degree in-progress, or for a more experienced HR professional looking to return to the workplace.
Location: Albany, NY

Hours: Part-time, 28-30 hrs/wk. Looking to establish a consistent schedule but exactly days/hours negotiable within our hours of operation M-Th, 8 am - 5 pm | Fr, 8 am - 2:30 pm

Pay: $25-$28 per hour. Individual compensation is based on various factors including skills, experience, qualifications, and other job-related factors.
Primary Responsibilities:

  • Ensure all benefit-related transactions and communications between enrollment and payroll systems are accurately transmitted, reconcile benefits statement from carriers, troubleshoot discrepancies, and recommend corrective action.
  • Assist with new hire benefit enrollment process - notify new hires upon eligibility, assist with enrollment platform user training, and confirm enrollment elections.
  • Maintain accurate employee benefit records and process new enrollments, qualifying life events, and employment status changes including Cobra eligibility and benefits for terminated employees.
  • Assist with candidate scheduling and communication, new hire onboarding coordination, and employment documentation (offer letters, background checks, welcome instructions...etc.)
  • Prepare and manage documentation requirements ensuring compliance with federal, state, and local leave regulations (multi-state) as well as company policies related to Disability (DBL), Family and Medical Leave Act (FMLA), Paid Family Leave (multi-state), and other types of leave.
  • Monitor time off requests and PTO accruals - troubleshoot as needed, coordinate with managers to ensure employee timesheets are completed correctly, approvals are received, and time-off requests are resolved for weekly payroll.
  • Manage documentation, prepare notices, and maintain accurate records related to unemployment notices, wage garnishments, WC claims, and other employee pay-related processes.
  • Ensure security of confidential information and maintain compliance with record collection, maintenance, and retention requirements.
  • Assist with data management in preparation for annual compliance reporting including W-2's and 1095's, EEOC, ACA, OSHA and other HR and Payroll related compliance.
  • Other general administration duties assigned as needed such as general office duties, welcoming visitors, and coordinating communication between departments.
Required Experience, skills and abilities:
  • Minimum 2 years of experience in an HR role required - experience with HR documentation, payroll, and benefit administration strongly preferred.
  • Must have strong organizational skills and technical literacy in the areas of data management, HR compliance and HRIS administration. Experience using Paychex strongly preferred.
  • Requires a broad-based knowledge of various information systems and technologies, employee benefit and payroll technology, remote access systems, and cloud-based services with the ability to troubleshoot and resolve errors by identifying the root-cause and implementing scalable solutions.
  • General understanding of federal, state, and local employment laws with an inquisitive mindset and aptitude for compliance.
  • Excellent interpersonal skills with the ability to communicate clearly and effectively using a variety of methods (in person, chat, email phone...etc.) across all levels of the organization.
  • Ability to work independently and effectively manage multiple, changing priorities with a result-focused mindset.
  • Addresses issues in an open, constructive, professional manner, and identifies opportunities for creative problem solving while staying within the parameters of best practices.
  • Generates unique but practical solutions to complex problems.
Work Environment: Work is primary performed in an office setting. Employees are always required to wear P.P.E. while on the manufacturing floor.
