Overview:

The Executive Special Projects Coordinator is responsible for all aspects of the project management lifecycle for assigned projects. This includes, but is not limited to, planning, executing, implementing and evaluating projects to meet the Health Care District of Palm Beach Countys business goals and objectives.

Responsibilities:
  • Manages multiple projects, simultaneously, from planning to closure across a variety of technology and business disciplines while collaborating with partners to define project objectives and scope.
  • Manages stakeholders, scope, requirements, testing, and change to drive projects to a seamless implementation and turnover to operations.
  • Prepares presentations for the Executive Team, FQHC Board and HCD Board as requested
  • Develop Project Charter and Project Management Plan. Support the development of project management best practices and tools.
  • Develops and manages project schedules to identify timelines and budget tracking. Determine how results and success will be defined and measured. Develop and manage project milestones, dependencies and critical path.
  • Assigns tasks and actions to the Project Team, monitor and track their progress; Motivates Project Team to achieve project goals and objectives (e.g., deliverables, performance, quality, benefits).
  • Manages Risks, Issues and Actions, solve problems that arise throughout the project life cycle.
  • Proactively manages and controls project changes, identify potential crises/issues, devise and lead resolution activities.
  • Builds and maintains strong relationships with Team Members, Project Sponsor and Suppliers/Vendors/Partners, Own Stakeholder Management; responsible for setting expectations and leading efforts to achieve customer satisfaction.
  • Coordinates Project Testing events, tracking defects and their resolution. Conduct post-project assessments and evaluations.
  • Acts in a manner that protects the integrity of the mission of the Health Care Districts mission.
  • Provides project specific leadership to ensure the mission, ethical values, and core guiding principles is put into practice.
  • Participates and attend board and strategy meetings and other related educational and training as requested.
  • Responsible for project management to ensure achievement of business plan and strategic direction. Performs research and analysis into project-related solutions, risks, issues, goods and services.
  • Maintains appropriate communication (status, progress, risks, issues, actions) with PMO, Project Team, Stakeholders, and Project Sponsor; Meets with Executive Leaders to understand project expectations.
  • Develops, facilitates and delivers accurate project documentation including: Project Management Plan, progress reports, requirements traceability, and Risk, Issues and Action Tracking. Captures, collects and reports project data, knowledge and metrics to facilitate monitoring, control, problem identification. Translate objectives into well-defined projects with clear scope, timelines, deliverables, resources, and success metrics. Facilitate meetings and resolve project issues.
  • Adheres to Project Management and Continuous Improvement policies and procedures.
  • Emergency duty may be required of the incumbent that includes assisting community or hospital-based organizations or the Red Cross. Staff will be directed to perform other emergency duties based on clinical experience including, but not limited to, responses to threats or disasters, man-made or natural.


Qualifications:

Education:

Bachelors degree in Business, Management, Project Management or related field

Experience:

Five (5) years related experience in managing and delivering projects within wide variety of technologies and services. Experience in the health care industry and business re-engineering and continuous improvement methodologies (e.g., Lean and Six Sigma) strongly preferred.

Certification:

Project Management Professional (PMP) or Lean Six Sigma Certification required
