This role is primarily responsible for accurately recording pertinent details from service requests and setting up work orders in Sage software to assign the work to the appropriate field technicians.The ideal candidate must have excellent communication skills and place customer service as priority with great attention to accuracy and detail. To be successful in this role, the ability to multitask is critical. The Facilities Coordinator position requires working with the appropriate sense of urgency making sound decisions independently when needed. Coordinating schedules, responding timely to emails, answering the main dispatch phone line, and utilizing existing technology to do so are additional, but not limited to, tasks. A teamwork attitude is a must. Excellent communication skills to collaborate with others under any type of condition.ResponsibilitiesReceive Service requests via email, phone calls or in person and accurately recording then setting up the pertinent information in Sage software, prioritizing accordingly.Assign work order to appropriate field personnel.Following up with clients utilizing excellent communication and customer service skillsCommunicating with field personnel to ensure work is being completed time and clarifying details for them when necessary.Running weekly work order status reports timely and following up on open orders.Setting up all work orders required in Sage.Receive and dispatch orders for products or deliveries.Monitoring GPS system with ability to provide locations of vehicles at any given time and run associated reports when requested.Various administrative duties are assigned to this position. This would include, but not limited to assisting division managers with requests, as in contacting sub-contractors, vendors, or clients on their behalf, working with city offices for permits, placing orders for materials, running requested reports.Requirements and skillsExcellent multi-tasking and organizational skills.Proven experience as dispatcher or relevant customer service type positionAbility to work with a sense of urgency when needed.Tech-savvy with knowledge of relevant methodsAccurate experience in data entryProficient in English (oral and written)Active listener with excellent communication skillsSound judgement and critical thinkingThey should be accustomed to working in a fast-paced environment with others while multitasking several schedules and priorities at once.#LI-SW1#LI-OnsiteMake your next move an expert one and join us as we lead the industry into the future.Direct applicants only please, no agencies.Colliers provides equal employment opportunity to all persons.
