Position Title: ACCOUNTING TECHNICIAN - SCHOOL

Department:

Reports To: Site Administrator

JOB DEFINITION:

Under minimal supervision, the School Accounting Technician manages the accounting and bookkeeping duties for a secondary school's student body and district funds, ensuring balance and maintenance of each set of financial and statistical records. The School Accounting Technician monitors the center budget and manages expenditures to meet the needs of the site. The School Accounting Technician assists the Principal in interpreting and prioritizing department budgets. The duties require the use of independent judgment and interpretive ability. The School Accounting Technician works under the supervision of the Site Administrator.

NATURE AND SCOPE OF WORK:

ESSENTIAL JOB FUNCTIONS:
  1. Maintains and monitors all school bookkeeping and accounting records:
    • Ensures adherence to budget allocations and proper fund accounting by department.
    • Maintains an accurate running balance for all accounts.
    • Receives and deposits monies for various accounts; issues PO's and receipts.
    • Balances cash receipt transactions on a daily basis.
    • Maintains petty cash for various district accounts and student/school activities.
    • Maintains purchasing cards used by staff for district and student body purchases.
  1. Budget coordination, preparation and monitoring of district instructional and athletic funds:
    • Assists in the preparation, distribution and analyzing of the center budget.
    • Assists in the preparation of various department budgets.
    • Assists Principal with preparation of the budget document for administrative review.
    • Compiles monthly departmental budget expenditure reports to department heads.
    • Provides customized district expenditure reports.
  1. The processing of purchase orders for both student body and district purchases, including direct contact with vendors and other suppliers:
    • Processes and codes purchase orders.
    • Provides on-line input of all purchase orders, mail and fax to vendors.
    • Communicates with vendors and district office personnel regarding shipping and receiving of materials.
    • Initiates and processes supply orders for staff, including annual estimated supply lists.
  1. The automated general ledger services for student body accounts, including individual account reconciliation reports. Reconciliation of all student body funds; individual club balances:
    • Student Activity Fund
    • Site Council Staff Development Fund
    • Student fines and fees collection
    • Textbook inventory records
    • SAT Prep Class Funds
    • Vending machine sales reports
    • Physical education lock fees
    • Student body accounts records and retention
    • Site district and student body grants
    • Fund raising activities
  1. Perform annual student body audits and provide information to the business office regarding reasons for significant changes to account balances.
  2. Arrange travel for staff to attend trainings, conferences, and also athletic events for the school.
  3. Trains and supervises students and staff on proper accounting procedures and adherence to District policy.
  4. Fulfills other related duties as assigned.
  5. Fulfills performance standards identified in the evaluation process as required by the position.
  6. Fulfills working conditions and physical effort listed below.
  7. Monitors student activity fundraising efforts to determine whether club made a profit. Follows up with advisor if no profit was made to determine whether all funds were accounted for.


WORKING CONDITIONS:

The employee transports large sums of money to the bank on a regular basis unaccompanied and frequently lifts boxes weighing up to 30 pounds and/or maneuver up to 50 pounds. The individual works under tight inflexible deadlines. Tasks require extreme accuracy and concentration; the employee works with continual interruptions. Must be able to sit for prolonged periods, work accurately, with attention to detail and with minimal supervision.

KNOWLEDGE, SKILLS AND ABILITIES:

Knowledge:
  • Methods, practices and terminology used in financial and statistical clerical work.
  • Computer technology and applications, applicable software and other equipment used in the workplace, as required by the position.
  • Technical accounting terminology, principles, and practices required to maintain a computerized or manual accounting system including accounts receivable, accounts payable, general ledgers, subsidiary ledgers, audit procedures, and budget preparation.
  • Rapid and accurate operation of ten key calculators to perform calculations and computer keyboards to input and retrieve information.
Skills & Abilities:

Possess the physical ability to regularly attend work and fulfill the essential functions of the position with or without reasonable accommodation.

  • Prepare clear specifications in accordance with established procedures and format.
  • Prepare and present clear and concise oral and written reports.
  • Demonstrated ability to organize and prioritize work; with frequent interruptions; make sound decisions under pressure; manage multiple customer demands and conflicting priorities.
  • Maintain a high level of commitment to the completion of all tasks.
  • Must be highly ethical, possess integrity and conduct all types of transactions, whether verbal or written, in an honest and open manner.

  • Obtain or possess a valid Oregon driver's license and maintain an insurable status for automobile and liability coverage, as required by the position.
  • Communicate effectively with students, district employees and the public in a pleasant, courteous manner.


EDUCATION AND EXPERIENCE:

High school diploma or equivalent and more than two years of advanced education / experience in the specific job requirements. The position requires the application of specific principles or techniques and training not normally received in a high school.

The position requires thorough knowledge of complicated procedures or methods and the ability to train or (fully) supervise others in such activity. Knowledge of District policies and practices is necessary. Job proficiency can be acquired in twelve to twenty-four months.
