Job Description:
Overall responsibilities include but are not limited to:
Scheduling
- Monitor telephone statistics daily and intervene as needed to meet standards.
- Meet patient needs through a variety of methods including but not limited to
a. Answer incoming phone calls and make outbound phone calls
b. Gathering information to route appropriately. - Maintains or initiates faxes.
- Maintain desk and/or clinic supplies.
- Sort and distribute mail.
- Contribute to the smooth operation of practice.
- Check out patients and print after visit summaries.
- Schedule appointments via phone, in person or via electronic correspondence.
- Schedule follow up appointments.
- Coordinate appointments for patients in other clinics.
- Coordinate Lab and Radiology appointments.
- Cancel and reschedule appointments.
- Manage electronic worklists.
- Collect patient photographs, document signatures and insurance card scans.
- Update and verify primary care and referring providers.
- Evaluate referrals and link to appropriate upcoming appointments.
- Promote and assist patients.
- Verify and update patient demographics.
- Obtain and prep New Patient charts prior to arrival.
- Research hospital systems for correct patient documentation.
(Labs, Imaging, Pathology, etc.)
- Greet persons entering establishment, determine nature and purpose of visit, and direct or escort them to specific destinations.
- Hear and direct complaints to Management from patients or the public.
- Provide information about establishment, such as location of departments or offices, employees within the organization, or services provided.
- File and maintain records.
- Transmit information or documents to customers, using computer, mail, or facsimile machine.
- Collect, sort, distribute, or prepare mail, messages, or courier deliveries.
- Observing, receiving, and otherwise obtaining information from all relevant sources.
- Forward Attorney Medical Records Requests to Executive Assistant/Compliance.
- Serve as resource person and provide information to patient scheduling staff and patients regarding insurance.
- Verify visit account and insurance information and transfer to billing if updates are needed.
- Collect copays, pre-payments, and outstanding balances.
- Manage visit prior authorization and referral requirements:
- High School education
- 1-2 years relevant experience in public contact
- Minimum one-year Medical Reception experience (desired)
- Patient and pleasant personality; works well with a variety of people.
- Detail oriented.
- Team player.
- Ability to work independently, with little supervision.
- Interfaces well with staff and physicians.
- Professional demeanor.
- Pleasant and friendly tone of voice.
- Work under minimal supervision and cooperate with other team members.
