Responsibilities:

The Receptionist/HR Coordinator will report into the Human Resources department and will staff the Shionogi Welcome Desk greeting visitors and ensuring a positive candidate and visitor experience.

The hours for this role are 8:00am-4:00pm, Monday through Friday. Attendance is of upmost importance. The ideal candidate has a roll-up your sleeves attitude and is a motivated team player who has a desire to learn and contribute to a growing organization.

RESPONSIBILITIES

  • Staff the welcome desk:
    • Staff welcome desk at Florham Park, NJ
    • Greet visitors and assist with their check-in through electronic Envoy Registration System.
    • Work directly with administrative assistants for the preparation of external visitors.
  • Provide company badges for employees/contractors.
  • Maintain the Envoy system which is the company on-site registration system.
  • Respond to questions in the Facilities Mailbox, as needed
  • Order, restock and manage supplies, snacks, and drinks in company caf
  • Order and set up weekly company-provided breakfast
  • Copying, faxing, filing, mailing overnight/shipping as required.
  • Coordinate the ordering of supplies, materials, publications, services, etc.
  • When needed, Assist Recruiting team by coordinating candidate interviews (via phone, WebEx and in-person), arranging candidate travel logistics and sending final interview confirmations to candidates and team members.
  • When needed, in-person and virtually, act as candidate host and provide assistance with the set-up of panel interviews, presentations and organized lunch when required, ensuring a positive candidate experience.
  • Assist HR and Facilities Department as needed with special projects and ongoing support.
  • Participate in HR lead initiatives and serve an active role in support of those initiatives.

REQUIREMENTS

  • High school degree or equivalent required. Some previous Human Resources or Administrative support experience required. BS degree preferred
  • Demonstrated level of proficiency with Microsoft Office Suite of products (Teams, Outlook, Word, Excel, and Power Point).
  • Motivated team player who has a desire to learn and contribute to a growing organization.
  • Must be a self-starter and be able to multi-task.
  • Strong organization and prioritization skills.
  • Excellent communication skills, both verbal and written.

Essential Physical and Mental Requirements

  • Ability to articulate clearly and conduct verbal presentations with large and small audiences.
  • Ability to travel via automobile and/or airplane.
  • Ability to view video display terminal images < 18 away from face for extended period of time up to four (4) hours at a time.
  • Ability to operate a computer keyboard and telephone.
  • Ability to sit for extended periods of time up to four (4) hours at a time.
  • Ability to lift, tug, pull up to fifteen (15) pounds.
