Rhode Island School of Design (RISD) seeks a Student Employment Counselor to assist in the administration of student employment programs and counsel students regarding student employment while attending the college. The Student Employment Office assists students and supervisors in all aspects of on-campus student employment and off-campus federal work study.

Essential Functions:
  • Responsible for timely and accurate onboarding for domestic, international, undergraduate, and graduate students for both on campus and approved off campus positions.
  • Manage the Student Employment front desk operations including providing timely and accurate responses to email, phone, and in-person inquiries from students, employers, and other internal and external partners. Maintain the front desk input sheet and the I-9 input sheet to monitor both walk in and appointment volume (made through Penjii, RISD's appointment making platform).
  • Create and deliver monthly metrics to the Director of Student Employment and the Student Financial Services team on front desk, phone and email volume.
  • Hire, train, mentor, and manage student employees to staff the front desk.
  • Responsible for the off-campus FWS program, maintaining job lists, completing authorization of student employees, and invoicing agencies. Maintain current payroll authorizations, job descriptions, wage scales, and off campus Federal Work-Study contracts.
  • With input and assistance from the Director of Student Employment, responsible for building and expanding Federal Work Study off campus job opportunities by reaching out and building relationships with non-profit agencies and informing them of the advantages, policies, and procedures involved with hiring RISD students in the Federal Work Study Program.
  • Deliver training to students, faculty and staff in a variety of student employment-based topics. This includes, but is not limited to, yearly onboarding for new students, yearly onboarding for student supervisors and Graduate Program Directors, just in time (JIT) training for newly hired GPDs and student supervisors, targeted training to specific student populations on campus, such as international students and first-generation students.
  • Responsible for planning and managing recognition events such as National Student Employment Week activities including, but not limited to, Student Employee and Student Supervisor of the Year Ceremony.
  • Coordinate the student employment payroll process in a timely manner including, but not limited to ensuring on campus hourly paid students are submitting their hours into Workday correctly and are paid on the scheduled pay period.
  • Track, monitor, analyze, and prepare reports regarding student earnings within budget limitation and student financial need. Identify students who have FWS and have award balances of under $500.00. and alert students and their respective supervisors when students with Federal Work Study reach their balance threshold.
  • Maintain RISD's job board to ensure that all on campus jobs that are submitted meet proper standards, including an equitable pay rate based on defined Wage Levels/Job Descriptions and language that is free from bias. Edit and recommend changes to departments before posting.
  • Provide administrative frontline support for graduate assistantships including, but not limited to, communications with graduate students and managing and processing of assistantship forms, letters, and hiring. Under the direction of the Director of Student Employment, create and update documents utilized by the Graduate Program Directors and Academic Affairs.
Required Knowledge/Skills/Experience
  • Ability to work with and help foster a diverse and inclusive culture.
  • Demonstrated ability to stay current with federal, state, and institutional regulations governing work study, labor and employment.
  • Experience in PC computer and MS Office (Word, Excel, PowerPoint) skills.
  • Strong presentation skills and proficient knowledge in creating and updating dynamic, solid training material, and presentations (PowerPoint and Google Slides).
  • Experience in presenting training material and topics in live, hybrid, and recorded modalities.
  • Familiarity with the I-9 process for both domestic and international students.
  • Bachelor's degree required or equivalent combination of education and experience.
  • Minimum three years of combined experience in financial aid, student employment, human resources, higher education or a relevant field.
PREFERRED:
  • Knowledge of platforms and software such as Workday (HCM) and the Thomas Reuters suite of tax treaty analysis platforms which is used to assist international students with completing tax treaties when applicable.
