Responsibilities:

Position Overview:

The National Transitions Manager is a key role within Willow Bridge Property Company, responsible for driving property management transitions through effective process implementation, project management, and regional team training. The National Transitions Manager ensures all tasks related to property transitions are completed efficiently and accurately, leveraging tools such as Basecamp and Smartsheet.

Key Responsibilities:

  • Project Management and Tracking:
    • Schedule and host client intake calls to coordinate data collection from the client and the outgoing management company.
    • Track transition activities toward milestones and deadlines.
    • Capture key data, help ensure data integrity prior to Yardi Go-Live, and monitor compliance.
    • Initiates and maintains ongoing support to property management departments.
  • Transition Coordination:
    • Schedule and lead transition calls with Regional and National teams.
    • Serve as the primary project manager for onboarding new properties and work closely with Regional Transitions Coordinators on due diligence and offboarding of properties.
    • Set up Basecamp projects for all property transitions as needed.
    • Track and ensure the completion of all property transition tasks in Basecamp across the portfolio.
    • Assist with post transition file audits, as necessary.
    • Order takeover supplies for new properties.
  • Training and Leadership:
    • Host training calls with Willow Bridge employees to introduce the general transition process and best practices.
    • Remain up to date in all areas of property management processes and policies within Willow Bridge Property Company
    • Provide leadership support to team members.
  • System Data Conversion:
    • Perform data conversions for newly acquired properties and new construction projects.
    • Request, review, and validate reporting from outgoing management to ensure accurate data transfer.
    • Provide client and customer service through report generation, software demonstrations, and participation in client/owner presentations.
    • Set up Smartsheet dashboards for all in-progress conversions to ensure transparency for regional and national teams.
  • Special Projects:
    • Lead and execute special projects as assigned by the National Director of Due Diligence and Transitions.
    • Collaborate with other departments on cross-functional projects to improve overall operational efficiency.
  • Process Improvement:
    • Review and provide analytics of transition statistics to inform decision-making and process improvement.
    • Provide suggestions and solutions to enhance the property transition process.
    • Update and maintain Basecamp/Smartsheet templates to ensure accurate and efficient data management.
    • Implement and monitor process changes to enhance efficiency and effectiveness.
    • Identify potential risks and issues that could impact the transition process.
    • Assess transition issues and offer timely guidance as needed.


Qualifications:

Critical Skills & Qualifications:

  • At least 5 years of property management experience (with 2 years as a Business Manager) including in-depth knowledge of all property management systems and programs that are performed at a site level.
  • Proficient in Microsoft Word, Excel, Power Point, Yardi, Entrata, OneSite.
  • Bachelors Degree preferred.
  • Excellent verbal and written communication skills required. Exceptional listening skills, ability to problem solve, and patience with team members of all skill levels.
  • Demonstrated ability to work with multiple priorities and prioritize effectively to ensure successful completion of projects.
  • Highly motivated self-starter capable of working independently and in a team environment.
  • The position requires up to 60% travel to various property locations nationwide.
