Overview:

The Events and Sponsorship Coordinator is responsible for the development, planning and successful execution of events that advance the recognition and awareness of the Bank and our brand. Primary responsibilities are to support, create, implement, and track event efforts working closely to understand the purpose, size, and scale of the event. Liaise with vendors and communicate with all stakeholders as needed.

Responsibilities:
  • Responsible for the execution of corporate, branch and employee sponsored events on behalf of the Bank and its business partners. This includes coordination of all event aspects, such as meeting with sponsorship teams, coordination with event and venue coordinators, logistics, run of show, and guest list. Facilitating event entertainment, including music, performers, and guest speakers. Working with branch staff when in-branch venue is utilized.
  • Working closely with the Community Relations department - maintain calendar for Chamber of Events sponsorships, including coordinating marketing collateral, events and event logistics for all Rhode Island chambers.
  • Responsible for developing and creating marketing collateral, communications, invitations, signage, or in conjunction with the marketing design specialist. Ordering independently or working with marketing to obtain promotional items when applicable.
  • Managing and overseeing all stages of planning event: including but not limited to directing event set-up, problem-solving, organizing vendors and volunteers, communicating with staff, tracking RSVPs, correspondence to media outlets and welcoming guests.
  • Attending events as appropriate as the lead event point person and perform post-event review to determine cost drivers, identify issues and potential improvements. Identify quality benchmarks and report meaningful results on events/sponsorships.
  • Maintains a good working relationship with Bank approved vendors and various venues in our market areas.
  • Must be flexible and able to multi-task in planning multiple events at once. Must be able to anticipate and plan for different scenarios and be prepared with contingency solutions.
  • Assists in providing photography to events, creating, and posting content for the Banks Social Media pages. Aligns content to the Banks social media calendar. Aligns calendar with sponsorship and event vendors to coordinate timing, cross posting, and engagement.
  • Responsible for maintaining allocated budget and annual event calendar with the Head of Marketing.
  • Coordinates the RFQ, budgeting, ordering, delivery, and distribution of promotional items. Manage inventory and track distribution of promotional items such promotional giveaways, banners, tablecloths, and customer gifts, etc.
  • Develop, maintain, and train on all processes and procedures related to events and sponsorship. Keep entire marketing team informed of all event needs including marketing design/collateral needs and requirements, volunteer staffing, and social media planning efforts.


Qualifications:

Must be a self-motivated person who enjoys taking responsibility, ownership for projects and takes pride in their work.

Bachelors degree in marketing is preferred.

Work experience in the referenced fields preferred.

The candidate must have proficiency in Microsoft Word, Excel, Access, Power Point, Outlook, Canva. Experience in Adobe InDesign and photography a plus.

Must possess excellent written and oral communication skills.

Some travel required.

Operates under the direction of the banks established policies and procedures, and within the scope of assigned job responsibilities.
