The Project Manager (PM) Assistant is responsible for overseeing and managing a variety of bidding and project management activities for projects that are being pursued, are in preconstruction, or under construction. The PM assistant ensures accuracy, completion, and continuity of project documents and details through communication and collaboration with colleagues and clients. The ideal candidate will have excellent communication and organizational skills, the ability to manage multiple projects and tasks, the drive to work independently and as a member of a team, and the expertise to master new and existing technologies, including online bid submission portals like e-Builder and project management platforms like Procore.

RESPONSIBILITIES:

Communicate effectively and in a timely manner with project managers, engineers, executives, superintendents, clients, insurance agents, and others. Provide reliable, helpful, and deadline-driven services for colleagues. Manage multiple projects and deadlines, proactively communicating questions, concerns, and suggestions as appropriate.

Review information, track progress and changes, note updated schedules, and be aware of all aspects of assigned projects to provide efficient, effective assistance to colleagues and clients.

Assist project managers with successful delivery of diverse projects, from initial bidding and RFP pursuits to preconstruction planning, construction production and delivery, and project close-out.

Ensure project documentation is accurate, complete, saved and stored, and uploaded into internal and external systems accessible by team members.

Create, update, maintain, and project documentation and data in Procore, including change orders, subcontracts, and purchase orders.

Manage AIA owner contracts, performance and payment bonds, bid bonds, and surety letters.

Create, update, and maintain the weekly bid schedule and participate in weekly estimating meetings. Track and maintain deadlines and data about all new and ongoing bids. Assemble and deliver bids.

Serve as a member of the company’s administrative team, helping to answer telephones as needed and performing routine office tasks on a short-term basis during colleague vacations or illnesses. assist with routine office responsibilities as assigned.

QUALIFICATIONS:

· Previous experience as a PMA or administrative assistant in a construction, engineering, architecture, or general trades firm preferred but not required.

· Ability to prioritize and multitask; superior time management skills, ability to meet deadlines in a fast-paced environment, and capacity to work both independently and as a member of a team.

· Excellent written and verbal communication with good proofreading and editing skills.

· Strong attention to accuracy and detail and highly organized.

· Maintain confidentiality of sensitive information.

· Flexible and positive attitude with personal integrity, honesty, and desire to contribute.

· Must be proficient in Microsoft Office and have expertise working in Excel. Proficiency in Procore and e-Builder desired but not required.

· In possession of a current Indiana or Illinois driver’s license. Will periodically need to hand-deliver bids for new projects to client offices throughout the region. A notary public license is desired but not required.
