Human Resources Assistant

Our client, a well-known family-owned business, is seeking an HR Administrative Assistant who will work with and support the VP of Human Resources. This is an amazing opportunity for someone who has some experience with Human Resources and is looking for growth.
SUMMARY:
This person will provide comprehensive administrative support to the VP of HR across HR functions, including employee onboarding, recruiting, benefits administration, risk management, and maintaining employee records. This role supports HR compliance, safety initiatives, and contributes to various HR projects, ensuring efficient and effective HR operations.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Benefits Administration Support:
- Assist with the coordination of Employee Health Insurance, Dental Plans, 401(k) & Profit Sharing Plans, and Life and Disability Insurance enrollments and changes.
- Respond to employee inquiries regarding benefits and escalate issues as necessary to the VP of HR.
Recruiting & Onboarding Support:
- Manage initial stages of recruiting, including posting job ads, screening resumes, and conducting reference checks.
- Support new hire onboarding by preparing orientation materials, organizing paperwork, and maintaining records in HRIS.
- Assist in scheduling interviews and coordinating candidate communications.
HR Compliance and Policy Administration:
- Support the VP of HR in distributing annual HR policy updates and reminders.
- Track employee compliance with mandatory training and certifications.
- Maintain and update employee records in compliance with data protection and confidentiality standards.
Records & Data Management:
- Ensure secure custody of official records, including employment files, Savings & Profit Sharing Plan documents, and regulatory compliance forms.
- Maintain updated records in HR systems, tracking employee status changes, promotions, and other employment actions.
Safety and Risk Management Support:
- Help manage and document safety initiatives, including completing the OSHA 300 Log by gathering information on monthly man hours, injury reports, and lost workdays.
- Assist with reporting of injury and vehicle accident reports, ensuring accuracy and timeliness in compliance with company policy.
- Support completing and tracking Sub-Contractor Safety Questionnaires and prequalification documents to meet company standards.
Employee Engagement & Event Coordination:
- Help coordinate employee engagement activities, wellness programs, and company-wide events.
- Assist with the logistics of HR-led events such as benefits fairs, open enrollment sessions, and staff meetings.
QUALIFICATION & REQUIREMENTS:
- Proficiency in MS Office Suite (Word, Excel, PowerPoint) and ability to quickly learn new HR systems.
- Strong attention to detail, ensuring accuracy in documentation and record-keeping.
- Commitment to maintaining confidentiality and handling sensitive information with discretion.
- Excellent communication and interpersonal skills to work effectively with employees at all levels.
- Strong organizational skills and ability to manage multiple priorities in a fast-paced environment.
EDUCATION and/or EXPERIENCE:
- Associates or bachelors degree in HR, Business Administration, or related field.
- Previous experience in HR support roles preferred.
- Experience in the construction industry or a related field is beneficial.
