The Valkyrie Central Coordinator provides a crucial role in delivering efficient customer service within a centralized facility. This position involves overseeing diverse services, such as information, support, and assistance, acting as a central point of contact for the Offices of Admissions, Student Financial Services, and the Registrar. The Coordinator provides services to a diverse population, including non-native English speakers, international students, high school students, current students, and other community members whose needs and interests may vary. This position requires sound independent judgment, excellent customer service, professionalism, efficiency, and friendliness, and the ability to work with minimal supervision. Failing to fulfill these duties could adversely impact the University's daily operations. A commitment to outstanding student-centered customer service is expected.
ESSENTIAL DUTIES/ NON-ESSENTIAL DUTIES AND RESPONSIBILITIES:

General Duties - 50% Essential

  • Maximizes and supports the daily functions of the Valkyrie Central Desk to ensure customers (including prospective students, current students, parents, faculty, staff, and other constituents) receive information regarding financial aid, registration, student records, and admission data
  • Provides face-to-face customer service to all internal and external customers, ensuring problems are resolved efficiently and effectively
  • Monitor and respond to the pertinent email accounts for questions. Forward emails to appropriate staff when necessary
  • Refers customers to the appropriate campus services
  • Cross-training between the pertinent offices of Admissions, Student Financial Services, Student Accounts, and the Registrar is imperative to the success of this role and therefore required.
Student Financial Services Specific 20% Essential
  • Answer general financial aid and student account questions, and refer to student financial services staff when necessary
  • Distribute financial aid refund checks
  • Receive financial aid documents and review them for accuracy and completeness. Forward documents to appropriate personnel
  • Prepare and mail all financial aid award offer packets in collaboration with student-worker staff
  • Prepare and mail all financial aid missing information letters with appropriate inserts and documents
  • Answer the general financial aid and student accounts telephone lines. Forward calls to appropriate personnel
  • Provide administrative support to Student Financial Services
  • Perform general receptionist duties
  • Other duties as assigned
Admissions Specific - 20% Essential
  • Greet campus visitors and show them to the hospitality suite.
  • Answer general admissions and enrollment questions.
  • Process incoming mail
  • Prepares mailings and admissions packets in collaboration with student worker staff
  • Manage calendars for the Office of Admissions for campus visits
  • Oversee work-study students as a supervisor and manage schedules
  • Prepare hospitality suite for guests and campus visitors, ensuring that lights, presentation, seating areas, snacks, and drinks are ready
  • Manage schedules for tour guides/ambassadors
  • Some evening and weekend duties to support admissions events
  • Other duties as assigned
Registration Specific - 10% Marginal
  • Answer general questions related to academic calendar dates, deadlines, drop/add forms, how to receive transcripts, and how to obtain enrollment verification
  • Refer customers to Registrar personnel as appropriate
JOB QUALIFICATIONS:

Minimum qualifications:
  • High School diploma or equivalent
Preferred Qualifications:
  • Prior experience in a higher education environment
  • Prior experience/knowledge with cash receipts and general accounting principles
  • Prior customer service experience
  • Bachelor's Degree from an accredited institution preferred
Knowledge/Skills/Abilities
  • Good written and oral communication skills
  • Must be accurate and detail-oriented
  • Ability to handle multiple tasks daily
  • Good working knowledge of Microsoft Office products and core operating systems
  • Ability to work with minimal supervision
  • Proficiency with Microsoft Word, Excel, and other Microsoft Office
  • Organizational skills and ability to prioritize tasks
  • Ability to work independently or as a part of a team
  • Well-grounded philosophy of honesty, integrity, and respect
  • Demonstrated ability to establish and maintain effective working relationships with various constituents, including both internal to the organization and with the public
  • Ability to work with and engage a diverse group of people
  • Ability to work independently yet value and support a team-based environment
  • Demonstrated professionalism and positive attitude

GUIDELINES AND SUPERVISION: The Valkyrie Central Coordinator works under the direct supervision of the Director of Admission. The Coordinator will also work independently and is encouraged to offer suggestions and input.

Work Schedule:

Monday through Thursday - 8:00 a.m. - 5:00 p.m.

Friday - 8:00 a.m. - 1:00 p.m.

Evenings and Weekends as scheduled and for Admissions events (i.e., Preview Days, Scholars Days, and Accepted Student Day)

Licenses: Valid SC Driver's License
