Job Summary Reporting to Director of Site Operation, the Site Operations Administration will manage all administration activities for the Site Operations Department Essential Duties and Responsibilities Ensuring Site Operations Admin department is operating efficiently and effectively Preparing operational reports as required Assist in department budget planning and development Security Vendor/G4S performance supervision and service level management, including daily security operations and reception, and drive continuous improvement of service Canteen Vendor performance supervision and service level management, and drive continuous improvement of service Non GMP area Cleaning Vendor/MCR performance supervision and service level management for non GMP cleaning , and drive continuous improvement of service Maintaining close working relationship with the Vaccines Facilities Lead and providing support for this area when required Assist in event planning and execution Provide assistance as necessary to Site Head EA, including Support EA for VIP hospitality and others Work with Accounts Payable & Procurement Team to manage quotation requests, proforma invoicing, purchase requests and PO creation for vendors Maintain and order necessary office equipment and supplies as required Maintain Site Operation communication Provide new hire induction training on half of Site Operation Department Assist with continuous improvement projects of the department Assist with 5S management in office area, all level 4 office area and other general areas Person Specification & Qualifications 5 years plus in a high performing Administrator/Executive Assistant role A university or college degree in Business Management or relevant experience Excellent knowledge and competency in the use of Microsoft Office Software Suite Experience in a Pharma/Manufacturing environment an advantage but not necessary Culture – can do attitude; agility; adaptability; fast phased environment; customer service mindset Service Vendor management experience preferable Excellent verbal & written communication skills to interact confidently with all levels within the company Exceptional organization skills to keep accurate files, record and find important information quickly Ability to prioritise tasks, work under pressure and complete a number of tasks concurrently throughout the day Good team player Managerial skills and competencies Interpersonal skills to work effectively with all departments Effective problem solving, quick thinking and ability to take own initiative and make last minute decisions Proficiency in Mandarin Chinese desired but not essential
